- Maintain executive's calendar and appointments by planning and scheduling meetings, conferences, and travel (domestic & international) including VISA processing & logistics planning
- Book travel and create detailed itineraries when needed
- Take initiative to make decisions utilizing sound judgement
- High level of attention to detail in a fast paced and often solo environment
- Build rapport quickly and easily with executive leaders and staff
- Produce information and respond to executive queries by researching, transcribing, formatting, retrieving, copying, or transmitting materials
- Build and/or assemble presentations/decks or other documents
- Conserve our executive's time by reading, researching, and routing correspondence draft letters and documents; prepare reports
- Conserve our executive's time by collecting and organizing monthly credit card statements for accounting and reimbursement
- Initiate communications or conference calls; launch video conferences and presentations
- Maintain client confidence and protect operations in handling of confidential information
- Streamline multiple priorities to ensure deadlines are met
- Liaise with internal staff as relates to availability or needs from executives
- Successfully run day-to-day tasks which may include but are not limited to:
- Phone, email, and mail correspondence
- Pulling support materials for meetings
- Office administerial duties
- Create and support a friendly and professional atmosphere within the team and department
- Overall, 5 + years of experience,
- 3+ years in an administrative role (servicing C Suite or VP level executives)
- 2+ years of calendar management and travel arrangement
- Bachelor’s degree
- Working knowledge of Teams and other conferencing apps, Google Apps, MS Office, Egencia or other travel apps and more
- Intuition, sound judgement, high level of attention to detail

Shell Recharge Solutions is seeking an Executive Assistant!
The Executive Assistant will provide administrative support and assistance to the CEO as well as other executive leaders. The position requires a high level of management, communication, and independent judgement skill and is required to execute tasks on behalf of the executive. The role will consistently utilize a high level of competency in organizational planning, information analysis, problem solving, taking initiative, decision making, travel and time management.
