Strategic partner to SVP and the GRS Leadership Team
Attend confidential meetings, take action items, follow up to resolution
Centralized congress management for GRS
Administrative lead to GRS administrative team
Contribute and support work streams and initiatives
Proactive calendar scheduling/conflict resolution
Domestic and international travel arrangements
Prepare expense reports
Maintain and update GRS SharePoint site
Regulatory Sciences Project Review (RSPR) coordinator
Occasional travel for town halls, LT meetings, LT Retreats, etc.
Prioritize and support miscellaneous requests in a timely manner
Partner to format regulatory documents in Core Template
Upload regulatory documents for publishing using CARA
Demonstrate the flexibility to provide support as needed which could be outside of normal business hours
Successful candidate must possess at least 7 years administrative experience.
Candidate must demonstrate strong interpersonal skills in dealing with all levels of management internally and externally.
Strong communication skills including excellent verbal and written skills.
Proven ability to manage sensitive information with confidentiality, discretion, and good judgement.
Candidate must have experience acting as lead to group of administrative assistants.
Must possess the ability to take initiative and adapt to frequently changing priorities.
Ability to work and think independently with ability to analyze and solve complex problems with excellent judgement and provide high quality work with attention to detail.
Proactive, solution-oriented approach to collaboration with strong decision-making capability to guide assigned project to successful conclusions.
Candidate must be proficient in MS Office (including Word, Excel, and PowerPoint), Outlook, Concur, Ariba, SharePoint.

The Executive Associate II position provides executive administrative support to the Sr. VP, Global Regulatory Sciences. Performs highly diverse administrative and project focused duties, which by nature of the position, will involve high level contacts and exposure to confidential material necessitating the use of tact, diplomacy, discretion, and judgement. The candidate must have proven skills in prioritizing and multi-tasking, as well as the ability to remain poised and focused in a fast-paced working environment.
Performs highly diverse and complex administrative functions, including but not limited to:
Ensures critical meetings are prioritized appropriately and facilitates their occurrence within appropriate timelines. Anticipates needs of the SVP and/or team and takes appropriate steps to produce desired outcome with minimal assistance from supervisor with accuracy and efficiency to meet deadlines.
Reads, research and routes correspondence as appropriate; drafts/reviews communications; collects and analyzes incoming information, as relevant, in support of the department. Independently researches more complex inquiries and responds or escalates, recommending solutions as appropriate.
Interfaces in a professional manner with senior executives and matrix team members. Oversees confidential information with discretion and demonstrates diplomacy and excellent judgement in dealing with sensitive situations.
Anticipates key issues and implements action plans based on changing priorities and commitments.
Prioritizes activities and acts based on an understanding of departmental objectives and business needs.
Maintains and organizes office operations and procedures such expense reports, purchase orders, and other administrative services.
Adheres to BMS policies, including booking international and domestic travel, and reconciliation of expenses.
Supports SVP preparedness for meetings (identifies meeting materials and pre-reads).
Maintains professional and technical knowledge by remaining current with BMS continuous learning modules.
Ensure coverage is seamless (e.g., during vacations) as well as with unplanned absences.
