      Purpose: The Facilities Department Manager is responsible for oversight and organization of the facilities department. This position oversees the functioning of the building systems at all locations, managing contractors for facilities renovation and expansions projects, and minor facility maintenance.

      Essential Duties and Responsibilities:

      • Ensures optimal functioning of building systems including mechanical, electrical, fire/life safety through management of contractors.
      • Serves as primary contact for facilities related issues.
      • Provides minor maintenance work to building, equipment, painting, and furnishings.
      • Performs fire and AED testing for facilities.
      • First responder to fire and burglar alarm notifications at all locations.
      • Ensures policies are in place and procedures executed by facilities staff and other associates to maintain safety, regulatory compliance and client contracted compliance. Follows all company and department policies and rules.
      • Creates, implements and maintains department repair, maintenance and capital improvement budgets to ensure compliance with budget and forecasted expenditures.
      • Establishes and manages preventive maintenance schedules, upgrades and remodels, customer relocations and new construction in the facility.
      • Plans, develops, and prioritizes projects and weekly work plans; ensures that materials are ordered, projects are designed and planned, and funding is available.
      • Coordinates and monitors status of work orders; estimates, requests, and purchases materials and equipment; and estimates labor cost for execution of the work orders.
      • Directs the utilization and scope of contract maintenance services, supplies and equipment; Evaluates cost, time and manpower estimates for contract maintenance services. Presents options and suggestions to Operations leadership.
      • Provides facilities documentation and maintenance of the DR/BC planning systems as they relate to facilities for compliance purposes (SOC2, HiTrust).
      • Documents process changes and updates for the department.
      • Carries a cell phone for On Call Support; Answers calls and critical emails on a timely basis.
      • Travels to all facilities as needed; regular presence in all locations and as needed.
      • Required to attend mandatory meetings and trainings, work scheduled overtime with minimal notice, and perform other duties as assigned per business needs.

      Qualification Requirements –

      To perform the job successfully, an individual should demonstrate the following:

      • Must be at least 18 years of age.
      • Able to read, write and speak English.
      • Successfully pass and maintain acceptable background checks and security clearances; Valid Driver’s License and remain insurable.
      • Technical Degree or Certificate in Facilities related field plus 6-8 years of related Facilities Management experience.
      • Attentiveness to deadlines, priorities and timely completion of daily work.
      • Excellent organizational skills and attention to details.
      • Conscientiousness and accuracy in record-keeping and documentation.
      • Expertise in performing multiple tasks at the same time without errors.
      • Ability to interact effectively with all levels of management and employees.
      • Strong written and verbal communication skills.
      • Superior project management—must effectively develop and manage project plans identifying all tasks, timelines, and resource staffing needed to meet project deadlines. Ensure project remains on timeline track and within budget management delays and resolving problems.
      • Knowledge and experience with Disaster Recovery methodology and best practices.

      Certificates and Licenses:

      • Facility Management Certification a plus

      Computer Skills:

      • Proficient knowledge of Microsoft Office Suite and building automation systems.

      Supervisory Responsibilities:

      This position has no supervisory responsibilities.
