Job Description

- Fleet Budgeting and Cost Control:
- Develop and manage the fleet budget, including vendor relationships for leasing agreements, fuel, maintenance, insurance, and operational costs.
- Analyze operational costs to identify areas for cost savings and efficiency improvements.
- Negotiate contracts with vendors for vehicle purchase, leasing, maintenance, fuel management, and parts.
- Work with Legal Dept. to support vehicle insurance program.
- Oversee the acquisition and disposal of vehicles, including assessing the timing for replacement, upgrades, or disposal of old vehicles.
- Oversee the management of leases, titles and other documents to operation and use of vehicles.
- Fleet Tracking
- Manage and monitor Telematics in Company owned or leased vehicles.
- Monitor vehicle use and location as needed.
- Driver Management:
- Manage MVR report program and maintain and update all Driver Qualification Files.
- Implement approval process to act as point of contact for review and approval of employees designated by BU for use of Company vehicles, vehicle allowances, or mileage reimbursements.
- New driver/vehicle onboarding
- Assist in the enforcement of company policies and procedures for vehicle usage and driver behavior.
- Work with Risk Manager to submit and manage insurance claims
- Fleet Maintenance:
- Manage the scheduling and execution of routine maintenance and repairs for all fleet vehicles owned by the Company and coordinating any such maintenance activities required for leased vehicles in accordance with applicable lease agreements
- Ensure that all owned, leased, and personal vehicles used for Company purposes are in good working condition and meet internal safety and environmental standards.
- Keep records of all vehicle histories.
- Keep Auto and Driver Schedules updated.
- Compliance and Safety:
- Apply for and maintain USDOT registration, including driver qualification and tax and registration filings including IFTA, UCR, etc.
- Implement and monitor driver safety programs to minimize accidents and vehicle damage.
- Identify safety risks and operational gaps; proactively implement corrective measures to enhance fleet safety and operational reliability.
- New Driver vehicle onboarding
- Assist with identified driver training requirements.
- Ensure and monitor eligibility as a company driver.
- Keep Auto and Driver Schedules updated
- New driver/vehicle onboarding.
- Collection of Personal Insurance cards and Distribution of Company insurance cards
- Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field (preferred).
- Proven experience (typically 3-5 years) in fleet management, logistics, or operations management.
- Strong knowledge of vehicle maintenance, safety regulations, and industry best practices.
- Proficiency with fleet management software and other related tools.
- Excellent organizational, communication, and problem-solving skills.
- Strong negotiation skills and vendor management experience.
- Knowledge of budgeting and cost-control techniques.
- Full-time position.
- Occasional travel will be required for fleet inspections, vendor meetings, and driver training.
- Work is primarily office-based with occasional fieldwork to oversee fleet operations.
