      Position Summary: Detail-oriented and organized HRIS and Licensing/Onboarding Specialist to manage and maintain the accuracy of Human Resource Information System (HRIS) data, oversee licensing compliance, and ensure a smooth onboarding process for new team members. This role is critical to supporting HR operations and maintaining compliance with organizational policies and regulatory requirements.

      Essential Duties and Responsibilities:

      Licensing Compliance:

      • Distributes all Illinois Gaming Board (IGB) license applications and Rivers Casino onboarding paperwork to job offered candidates for both external hires and internal transfers.
      • Coordinates, schedules, and completes onboarding appointments for job offered candidates.
      • Reviews all incoming IGB license applications and company onboarding forms.
      • Manages, tracks, and resolves all issues pertaining to Team Member licensing with the Illinois Gaming Board. Keeps management informed.
      • Coordinates and completes on-site state fingerprinting appointments.
      • Communicates with IGB offices to inform of upcoming appointments, request license status updates, and to provide updates on pending applications.
      • Responds to IGB requests for updates and information.
      • Communicates license approval status to coordinate employment start via phone and e-mail.
      • Notify employees and supervisors of upcoming expiration dates and coordinate renewal processes.
      • Maintain a comprehensive database of licenses and certifications, including supporting documentation.

      Onboarding:

      • Prepare and organize onboarding paperwork for new hires, ensuring all required documents are completed accurately and on time.
      • Coordinate background checks, I-9 employment eligibility verifications, and other pre-employment processes.
      • Serves as the primary point of contact for new hires, providing guidance and answering questions about onboarding requirements.
      • Collaborate with other departments to facilitate a seamless onboarding experience

      HRIS:

      • Enter, update, and maintain accurate employee data in the HRIS system, including personal information, job titles, pay rates, benefits, and performance records.
      • Serves as the primary contact and support for HR Reporting including creating and maintaining reports and dashboards.
      • Weekly, monthly, quarterly and annual HR metrics reporting.
      • Generate HRIS reports to support decision-making and compliance efforts.
      • Maintains and ensures the accuracy of all HRIS systems in relation to all Team Member transactions, benefit administration, performance tracking, and compensation.
      • Ensure data integrity by performing regular audits and resolving discrepancies.
      • Partners with Human Resources, Payroll, Information Technology, Planning & Analysis, and other departments to fully utilize systems and data.
      • Ensures that records, files, and electronic tracking systems are maintained accurately to ensure compliance according to company and regulator policies and procedures.
      • Assists with creating and running HRIS and benefits related reports for leadership, governmental agencies, and the IGB in specified formats as needed.
      • Timely uploads of file feeds for various partners and vendors.

      Additional Duties:

      • Assists the HR Coordinator with offboarding processes, ensuring proper documentation and system updates.
      • Provide support for special HR projects and initiatives as needed.
      • Stay up-to-date with HRIS software updates and best practices to enhance system utilization.

      Qualifications: (Knowledge, Skills, and Abilities):

      • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience) preferred.
      • Minimum of 1 year of experience in HRIS administration, licensing compliance, or HR coordination preferred or combination of education and experience.
      • Proficiency/knowledge in HRIS platforms (e.g., UKG, Workday, ADP, or similar)
      • Experience with Google Suite and advanced use of Microsoft Excel.
      • Strong attention to detail and ability to manage multiple tasks and deadlines.
      • Excellent communication and interpersonal skills.
      • Ability to maintain the highest levels of confidentiality.
      • Ability to work flexible shifts and days of the week including holidays and occasional evenings/weekends.
      • Ability to obtain and maintain all necessary licensing.
      • Ability to work in a high pressure, fast-paced environment.

      • Prolonged periods sitting at a desk and working on a computer.
      • Must be able to lift up to 15 pounds at a time.
