      Human Resources Administrator

      Reports to: Integrator

      Purpose of Job

      To maintain the overall HR process and ensure compliance with all applicable federal and state regulations, developing new processes, updating documentation, and conducting training as necessary. To support the organization’s staffing goals by managing job requisitions and assisting with onboarding workflows as needed. To manage sensitive documents and records and fulfil requests from internal and external agencies and establish and follow protocols and workflows to ensure professionalism and data security are maintained while minimizing company liability.

      Essential Functions

      HR Documentation

      • Manage the inflow and timely processing of all HR documents, including but not limited to requests for earnings, employment verifications, government census, unemployment claims, worker compensation filings, incident reports, discrimination and harassment claims, wage garnishments, certifications and licenses, etc within a 3-7 business-day timeframe
      • Create case files for discrimination/harassment/injury/other potential legal issues and work with all levels of management to collect and present information to legal/insurance as needed
      • Manage incoming WeWantToKnow submissions and process/route accordingly

      Employee Maintenance / Recruiting

      • Verify onboarding documentation is complete and process requests to add employees into POS
      • Troubleshoot onboarding and employee maintenance issues with unit-level staff
      • Manage job requisitions on various job boards and integrations, keeping them updated as directed
      • Process Employee maintenance tasks, including but not limited to assigning and collecting job descriptions, policy and procedures updates, benefits enrollment, updating employee status, license, certifications, expiration dates, job titles, performance reviews, disciplinary reports, etc, entering information into the payroll system and POS as required
      • Maintain employee recognition programs (years of service awards, name tags, birthday cards, etc) and develop, document, and train new initiatives as directed

      Payroll

      • Review and follow up on weekly timecards noting compliance issues with upper management
      • Manage the paycard program, fulfilling requests to assign new cards and keeping locations supplied
      • Follow-up on payroll rejections and submit requests for resending via ACH or paper check
      • Compile payroll data inputs for processing by finance/accounting team
      • Report on employment metrics as directed

      Required Qualifications

      Experience Needed

      • Previous quick service restaurant experience preferred.
      • SHRM-CP / aPHR from HRCI or 3 years’ experience in position

      • Customer focus - strong hospitality and customer service skills, enjoys engaging with the end users of systems and routines, focused on serving all members of the organization subordinate to organizational goals
      • Trainer and coach - ability to be a strong trainer or coach to others on routines and systems, as well as how to effectively interact with subordinates.
      • Management skills – excellent track record of coaching and developing employees and effectively resolving employee relations issues. Maintains a professional attitude at all times
      • Organization and goal focus - must be highly organized and detail-oriented with the capability to oversee all aspects of the HR process and multiple areas simultaneously in a fast-paced environment. Must be able to set clear goals for the business and actively work to achieve and exceed these goals.
      • Technical - proficiency with computers, office suite, payroll/accounting softwares
      • Communication – strong professional writing skills
      • Compliance – Familiarity with EEOC, state and federal employment and safety (OSHA) regulations and reporting requirements for medium to large businesses
      • Integrity - does the right thing even when no one is looking, honest, earns trust of others

      Work Conditions

      Must have ability to:

      • Work on-site in an office setting for 40+ hours per week
      • Reliable transportation to and from office
      • Minimal tele-work available in inclement weather

      Human Resources Administrator Expectations


      • Daily Tasks


      1. Check Email
      2. Complete work comp filings
      3. Review Click-up/productivity software notifications and complete assigned tasks
      4. Complete Add to POS requests from units
      5. Assist with onboarding technical issues
      6. Process employee maintenance items
      7. Process incoming HR mail and requests
      8. Monitor We Want To Know pipeline
      9. Other duties as assigned

      • Weekly Tasks
        1. Review time punches and prepare reports
        2. Respond to unemployment claims
        3. Respond to HR Documentation requests
        4. Update job boards
        5. Issue pay cards
        6. Follow up on outstanding onboarding issues, terminate stale NH/RH
        7. Follow up on outstanding compliance issues (labor audits, etc)
        8. Follow up on open cases (EEOC, work comp, etc)
        9. Other duties as assigned

      • Monthly Tasks
        1. Prepare and print monthly birthday cards
        2. Order name tags
        3. Print and review awesome awards
        4. Print and review Years of Service awards
        5. Issue and process benefits enrollments
        6. Update employment metrics (turnover, etc)
        7. Other duties as assigned
