      Human Resources Assistant
      The Department of Administration is seeking an individual to serve as our Human Resources (HR) Assistant for our Shared Services agencies and Admin. This position will perform administrative tasks as well as the intake of visitors, file management, internal file sharing management, supply orders, meetings and event coordination.

      Responsibilities of the Human Resources Assistant:
      • Coordinates filing and document management. This includes filing paper files and creating and maintaining a digital filing system. Coordinates weekly file sharing with Shared Services agencies. Serves as the HR File/Document Archive Liaison.
      • Intakes in-person visitors and telephone calls to the HR main line. Directs visitors and incoming telephone calls to proper HR staff member.
      • Coordinates internal HR file sharing between the Employment and Recruitment team and Payroll.
      • Coordinates supply and equipment orders for HR staff. Ensures office supplies are stocked. Ensures the physical office space is organized. Communicates to management or submits work orders to address any office cleaning needs.
      • Schedules and coordinates meetings, meeting space, events, and calendars for HR leadership as requested.
      • Other duties as assigned.
      High school diploma and two years of administrative or human resources experience. A bachelor's degree will be accepted in lieu of the experience.

      Additional Requirements:
      • Knowledge of fiscal and personnel procedures, practices and policies.
      • Knowledge of modern office practices, procedures and equipment.
      • Ability to coordinate diverse administrative functions.
      • Ability to establish and maintain effective working relationships.
      • Ability to plan and organize administrative tasks.
      • Ability to communicate effectively.
      • Organizational skills
