      The Kitsap County Human Resources Department has an exciting opportunity for a customer-service minded professional to join our team.       The ideal candidate will have strong customer service skills, with the ability to communicate effectively with a diverse customer base and across all levels of the County. In addition to being technologically savvy, the candidate must be able to handle interruptions while performing a variety of tasks and functions in a busy office environment. Human Resources (HR) is entrusted with sensitive employee information and data, and it is therefore essential that any team member maintain confidentiality. The selected team member must have the ability to apply policy and practices while supporting multiple departments that involve labor represented and non-represented employees. This position requires strong time management and organizational skills. You will work on a team, supporting all HR divisions and assigned County departments. Must have the ability to prioritize work assignments and ensure timely and accurate completion of tasks.



      REQUIRED EDUCATION AND EXPERIENCE:

      • Two years of increasingly responsible office administration support work that includes in-person customer service work with the public, word processing, and data entry and proficiency working with MS Office Suite; or
      • Related education demonstrating required knowledge, skills, and abilities to perform the job may substitute for up to six months of experience.

      PREFERRED EDUCATION, EXPERIENCE, OR QUALIFICATIONS:

      • At least one year experience providing administrative support to an HR Department
      • Experience providing administrative support for a government employer or an employer that was unionized.
      • Experience utilizing an applicant tracking system such as NEOGOV.
      • Experience working in a HRIS system such as Workday.

      PHYSICAL REQUIREMENTS AND WORKING ENVIRONMENT

      • The duties in this position are performed in an office setting utilizing standard office equipment and may be required to lift at least 20 pounds.
      • Occasional off-site meetings with customers or for training.

      In this role, you will have the opportunity to:
      • Serve as front-line contact for internal and external customers. Provide information to customers on a variety of HR activities, programs, functions. Research and respond to inquiries.
      • Provides administrative program support for a wide range of HR functions, including training, benefits, communications, HRIS, recruitment, Labor Relations, and Civil Service. Responsibilities include imaging and archiving HR records, formatting and routing contracts and resolutions, maintaining departmental databases, scheduling and notetaking for meetings, assisting recruitment activities such as advertising, preparing interview materials, applicant follow-up, testing, and arranging pre-employment physicals.
      • Assist with new employee onboarding: Assist new hires with paperwork; Prepare new hire packets. Schedule attendance at new employee orientation/onboarding. Send out all correspondence to new hires regarding attendance at onboarding. Conduct pieces of new employee orientation/onboarding
      • Receive and distribute confidential HR documents; maintain forms, documents, and supplies; update office forms as needed with policy or law changes; reconcile billings; and create and maintain policies and procedures as they pertain to office administrative functions.
      • Process HR transactions for assigned departments, including but not limited to entering data for new hires and responding to basic questions and requests from employees.
      • Respond to employment verification requests, initial unemployment claims, and public disclosure requests.
      • Maintain knowledge of programs and policies associated with assigned departments and keep the HR staff apprised of current and potential issues and problems.
      • Maintain the confidentiality of sensitive communications, and maintain records and information in all forms, verbal, written and electronic.
      • Ensure work is completed in accordance with applicable policy and procedure.
      • Serve as contact for internal and external customers, elevating questions as appropriate.

      • Core work hours for this position are Monday – Friday, 8 a.m. – 4:30 p.m. Flexible hours may be available, as approved by management.
