Job Description

- Performs routine office tasks including, but not limited to, schedules meetings and appointments, assists internal and external customers, answers the main telephone line, data entry, filling out forms, scans all documents into the electronic filing system, faxing, copying, receiving/sorting, and distributing mail.
- Performs all tasks related to new hire onboarding including, but not limited to, coordinating post offer physical and/or drug screen and background screen, responsible for reference checks for new hires to include volunteers and casual labor.
- Processes I-9 employment eligibility.
- Provides new hire notices to the Department of Revenue.
- Performs data entry by entering new hire information in timekeeping system.
- Prints badges for new hires, promotions, replacements, and enters badge numbers into timekeeping system.
- Interacts with internal and external customers on a regular basis. Responds timely to all inquiries and directs the customer to the appropriate Human Resources staff member or Department/Division.
- Oversees payroll and serves as payroll timekeeper for department. Submits payroll, and timely approves online.
- Tracks position control changes and keeps detailed records of requests, approvals, and denials related to position changes.
- Responds to and oversees public records requests, as needed.
- Reconciles monthly cell phone statements and Purchasing Card expenditures. Track expenditures impacting Human Resources budget accounts.
- Prepares, and processes travel for department staff members, as needed.
- Serves as Asset Custodian. Tracks, monitors, and updates Human Resources Department and Employee Health and Wellness Center assets.
- Manages department office supply expenditures and orders supply as needed.
- Organizes and executes employee recognition functions including, but not limited to, quarterly Employee Appreciation Breakfast and Point Recognition Program for Service Awards.
- Oversees Charitable Casual Day Program including updating yearly calendar for website, collecting moneys for donation, distributing contributions to appropriate organizations, and maintaining records.
- Performs other duties as required.
- High school diploma or GED and formal training, special courses or self-education that is equivalent to satisfactory completion of one year of college education or specialized advanced training.
- One (1) year of related work experience.
- Prior work in a Human Resources environment preferred.
- Valid Florida Driver License (or must obtain within 30 days of establishing residency in Florida), or valid Florida Identification Card is acceptable only for positions not required to drive a county vehicle.
- May require Notary Public Certification.
- Excellent customer service skills, communication skills and strong attention to detail required.
- Must have strong organizational skills to plan, prioritize, multi-task and independently execute projects/tasks within specific deadlines while maintaining flexibility.
- Requires ability to maintain courteous and effective relations with County staff, elected officials, community interest groups and the public.
- Must have strong working knowledge of computers and be proficient at an “Intermediate” level in the use of Microsoft Office Suite of Products (i.e., Outlook, Word, Excel, etc.)
- Must have or be able to obtain within 90 days certification in FEMA National Incident Management System (NIMS) courses:
- IS-100.c: Introduction to the Incident Command System (ICS); and
- IS-700.b: An Introduction to the National Incident Management System
Physical Requirements/Work Environment
- Requires sitting most of the day.
- The job involves frequent lifting and carrying up to 10 pounds, and occasionally up to 20 pounds.
- The job requires occasional bending, squatting, balancing, and reaching above shoulders.
- The job requires the completion of tasks that involve typing, simple grasping, pushing, and pulling.
- The job requires normal visual acuity and field of vision, depth perception and color vision, hearing, and speaking.

Emergency Response/Recovery Activities
Basis of Rating: Some positions may require a written and/or skills test. Applications will be carefully reviewed to assess each individuals’ qualifications. Must successfully pass an employment reference check, criminal background check, physical examination check. Drug screens will be in accordance with the Drug Free Workplace Act and/or the Omnibus Transportation Employee Testing Act of 1991.
