      The HR Controls and Infrastructure Knowledge Management Associate reports to the Infrastructure Knowledge Management Lead and responsible to support the efforts to develop, document and drive the activities around creating and managing the Standard Operating Guidelines (SOPs) for all of EDSE. The Knowledge Management Associate will work with our customer’s operational SME’s and leadership teams to continually improve SOPs to improve customer experience and optimize their operational environment. The Knowledge Management Associate will support the day to day activities to ensure operational SOPs are effectively managed and maintained from a governance and on-going operations perspective.

      This role is responsible for a variety of tasks which include the creation and maintenance of all customer SOPs, acting as the primary point on contact for all SOP processes, maintenance and enhancement of an established document management repository, including a SharePoint based SOP repository and approval system, developing and conducting SOP trainings, participating in and facilitating Workgroups as well as collaborating with writer/editor staff in the development and/or review of other guidance documents and communications. Additional tasks may be assigned which could include providing surge capacity to complete other, routine tasks as well as to perform special projects outside the normal scope of activities. This role is also supports the centralized Records Management Global Steward for Controls and Infrastructure. This position requires strong oral and written communication skills as well as the ability to apply a detailed, clear and analytical approach to solve problems and complete unfamiliar tasks. The Knowledge Management Associate will work closely with all levels of staff from HR SMEs, Team Leads, Division Leadership and Project Management.

      Job Responsibilities

      • Provide writing/editing support to all HR service teams.
      • Revise or create procedures from documentation provided by the service teams.
      • Partner with Subject Matter Experts to ensure that procedures accurately reflect current processes established within each department.
      • Partner with Knowledge Management Manager, Controls and the Legal Obligations community to ensure documents are accurately aligned as required.
      • Maintain online repository, posting new/updated procedures as needed.
      • Maintain document properties correctly to ensure accurate reporting
      • Balance conflicting demands to support expected work as well as urgent requests
      • Escalate issues that arise with clients, workload, tools, and processes.
      • Installing the SharePoint platform, integrating applications, and creating libraries.
      • Adding users, controlling access to document libraries, and setting permissions.
      • Complete routine administration, including attending meetings (whether internal or client), fulfilling training requirements, and reporting to management or clients as requested.

      Required Qualifications

      • Technical writer with strong logic and analysis skills; emphasis on procedure writing.
      • Must have strong critical thinking capabilities to determine logical next steps and follow-up, as well as tactical skills to work quickly and efficiently.
      • Knowledge of SharePoint tools, including workflows, and SharePoint forms for tasks.
      • Must have a continuous improvement mindset.
      • Ability to both manage and execute projects flawlessly.
      • Proven ability to thrive in ambiguous work environments.
      • Proven ability to prioritize and efficiently complete multiple assignments while maintaining the highest quality.
      • Must be able to quickly grasp the mechanics of a job function and synthesize the new knowledge into existing parameters.
      • Must be able to communicate with all levels of employees, including the end-user, project teams, operation managers, and control partners.
      • Aware of and able to use technical writing conventions and methodology Example: Information mapping.
      • Basic understanding of structured writing techniques, templates, style guides, and file management.

      Preferred qualifications, capabilities, and skills

      • Prefer 2 years' experience as a SharePoint administrator
      • Must be able to make independent decisions based on known criteria.
      • Strong time management, problem solving, and prioritization skills.
      • Ability to work effectively within an ever-changing environment of conflicting priorities/demands.
      • Passion for improving systems and processes.
