      Job Summary

      Responsible for performing HR-related duties on a professional level and works closely with senior HR management in supporting the organizations’ human capital. Provides customer service to all Hospital employees for record keeping and inquiry purposes. Provides general records information to Administrators and Department Heads as requested. Maintains records, including but not limited to, maintenance of employees’ files. Has complete oversight of the personnel records.

      Essential Functions

      • Inputs employee data into the HRIS system necessary to create or update employee personnel files.
      • Inputs initial registrations and certification dates into the HRIS system.
      • Inputs separations of employees into the HRIS System
      • Processes all transfers/promotion s etc.
      • Interacts with T alent Acquisition team, and HR Op erations team regarding requirements/compliance for onboarding new hires.
      • Maintains and verifies ongoing licensure , certification, and AHA compliance.
      • Informs HR Director of problems or questions relating to the employee records that cannot be resolved.
      • Creates reports as requested by CHRO and HR /Director.
      • Completes daily/monthly/annual data requests as required
      • Maintains employees’ files and maintains employees’ confidentiality.
      • Verifies that staff licensure is up to date and sends out notices to departments with late notices. Follows up with department to receive current verifications and registrations, prints and places in employee files.
      • Oversee and assist in facilitating the new hire orientation process for clinical and nonclinical departments.
      • Manages curriculum in HRIS/LMS System for clinical and nonclinical.
      • Assist department heads in preparation and management of annual mandatories
      • Tracks annual competencies/mandatories of all hospital employees
      • Coordinate onboarding with Employee Health .
      • Monitors the fax line daily and completes employment verifications.
      • Runs a monthly employee anniversary and birthday report and send monthly emails to department heads.
      • Sorts department mail and distributes to appropriate HR team members.
      • Coordinates Handle with Care classes with instructor and updates EP conference room calendar. Maintains tracker for attendance
      • Provides office services support for administrators by inputting data; gathering information; preparing reports; maintaining files; ordering and maintaining supplies and equipment.
      • Supports the HR Director in responding to and preparing for regulatory on-site visits

      Physical Requirements:

      Position requires prolonged periods of sitting and use of a computer and screen viewing throughout the working day.

      Position will be required to stoop, bend, lift, and carry items weighing up to 25 pounds.

      Minimum Education/Certifications
      Bachelor’s Degree

      Minimum Work Experience
      Minimum two (2) years general office experience preferably in a Human Resources Department.

      Knowledge and Skills

      • Computer literate in Microsoft Word, Excel. Advanced Excel skills highly desirable.
      • Knowledge of LMS, HealthStream, Kronos and ADP systems are helpful.
      • Excellent interpersonal skills required.
      • Understands filing systems for accurate storage.
      • Excellent attention to detail.
      • Ability to interact with other HR personnel in a professional manner.
      • Ability to multitask.

      Position Type/Expected Hours of Work:

      Must be willing to work holidays, weekends and provide additional coverage as needed
