      JOB SUMMARY:

      The Human Resource Specialist supports the management, administration, and reporting aspects of HR including, but not limited to, payroll, benefits, employee relations, onboarding, data and record keeping.

      JOB DUTIES:

      Core duties and responsibilities include the following. Other duties may be assigned.

      • Serves as the initial point of contact and support resource for employee benefits, payroll, data change requests, systems access requests, and general tax setup support.
      • Prepare bi-weekly payroll prep to ensure accuracy for final review by HR Manager. Manage payroll data entry and assist with ensuring time and attendance is accurate, retail tip sheets and additional payroll documents are completed timely for upload.
      • Review and funnel employee requests, complaints, and information from shared HR system to the appropriate HR contact.
      • Maintains employee records and is responsible for ensuring accurate data entry and population on all HR platforms and tools, including but not limited to, employee updates, new hires, employment changes, separations, etc.
      • Responsible for ensuring all employee life cycle tasks are completed, scheduled and facilitated; Maintain all new hire, promotion/ transfer, and separation checklists.
      • Prepares correspondence to outside requestors and maintains records within HRIS system: employment verifications, income withholdings, child support, unemployment, workers compensation, etc.
      • Track and monitor document completion and facilitate reminders to employees and managers for past due; including but not limited to, job descriptions, handbook or policy updates, etc.
      • Assemble and distribute new hire swag bags and other company materials.
      • Contribute to records management for HR objectives and systems, including metrics and standard reports for ongoing company requirements.
      • Compile accurate weekly reporting metrics for various HR meetings; have the ability to speak to them on a high level.
      • Ensure accurate and timely data reporting to Accounting & Finance Team on a weekly and monthly basis.
      • Audit 401k service eligibility dates and update if exclusions are needed.
      • Conducts or assists with record audits and mandatory reports, which may include I-9 audits, EEO-1 filings, payroll audits and other compliance reviews.
      • Administer, maintain, and audit employee benefits, including claims resolution, reconciliation of benefit statements, monthly insurance audits, and communicating benefits information and/or changes to employees.
      • Administer, coordinate, organize, and deploy 90- day, mid-year, and year-end employee performance reviews.
      • Process employee terminations and departures including, but not limited to, ensure final pay is processed appropriately, termination in HRIS system and applicable compliance systems (METRC), completion and communication of separation letter, notification to insurance providers, monitoring COBRA enrollment, UIA claims, and facilitating company asset returns.
      • Administration ownership of PTO and leave of absence policies, tracking LOA and communication of status changes.
      • Ownership of cannabis compliance administration to ensure legal compliance of state and federal regulations and applicable employment laws, and update policies as required. Assist in report generation as needed for HR Manager.
      • Reviews, tracks and documents compliance with mandatory professional licensure/registration; Ensure all employee licenses/registrations are renewed in a timely fashion.
      • Responsible for facilitating company communication, i.e. newsletters, announcements, etc.; Maintains up to date employee contact information and contact lists.
      • Facilitates the ordering, delivery, stocking, and maintenance of office, kitchen and janitorial supplies.
      • Ensures that common areas, such as office entry area, conference room, and kitchen are maintained in a neat and orderly fashion.
      • Maintains and implements office management schedule and coordinates vendors to ensure appropriate janitorial services, organization and seasonal tasks.
      • Coordinate package/parcel and delivery and receipt; Collect and distribute mail daily, ensure outgoing mail is collected/taken to the post office.
      • Assist in planning and execution of company sponsored events for all locations.

      SUPERVISORY RESPONSIBILITIES:

      None

      JOB REQUIREMENTS:

      • Bachelor’s degree and 3+ years related experience, or equivalent.
      • Working knowledge of HRIS systems and comfortable learning new systems.
      • Strong (and current) knowledge of all laws and regulations pertaining to employment & labor laws, especially related to rights to leave.
      • Knowledge of KPI’s and metrics.
      • Proven ability to establish strong credibility and build relationships, operate in an environment of ambiguity, and maintain strict confidentiality.
      • Outstanding interpersonal skills; must display patience, humor & helpfulness for employee issues.
      • Strong results- orientation and commitment to quality, performance and deliverables.
      • Working knowledge of HRIS systems and comfortable learning new systems.
      • Effective multi-tasker with demonstrated ability to prioritize.
      • Demonstrate strong oral and written communication skills; ability to correspond timely in a professional, businesslike manner.
