      Description

      The Administrative Assistant serves as the primary administrative and project management function for the Information Systems department. This position is responsible for the day-to-day administrative tasks including corresponding with vendors, providing the first contact with IT users, and assisting the VP of IT with performing administrative and project management tasks for multiple corporate system implementations. This position requires excellent organizational and communication skills, attention to detail, as well as excellent skills in Microsoft Office products.

      • Provides administrative support for VP of IT including general admin, project management, managing calendar, coordinating meetings, and managing events.
      • Assist in all project management for IT department technology projects ensuring that tasks are documented and tracked in Smartsheet, timelines are met, reports statuses to IT Director and VP, and follows up with IT staff to ensure all IT department projects are completed on schedule.
      • Backs up IT Manager to assign helpdesk tickets to technicians based on skill set and availability.
      • Manages corporate contracts in the Contract Management System including adding new contracts, updating contract documentation, managing vendor account information and logins, and creating contract reporting.
      • Responsible for the department purchasing process including creating purchase requisitions, submitting packing slips, and reconciling department credit card expenses.
      • In support of the IT Manager, administers the asset management program to ensure the accurate reporting and tracking of assets through regular auditing of records against the procedure. Provides reporting and evidence of regular audits to the IT Manager. Perform data entry of assets as needed.
      • Manages all vendor accounts including requests for billing inquiries, new service, and support requests.
      • Creates, records, and uploads instructional videos and webinars to StarNet.
      • Reviews and approves regular monthly invoices and escalates to the appropriate level based on established parameters.
      • Assists with generating the annual IT budget.
      • Manages regular IT Tech talks including content creation, scheduling, technology setup, and room configuration.
      • Assists others within the department with clerical and research duties.

      Qualifications

      Education and Experience:

      • 3 years of relevant work experience or relevant training. Administrative experience preferred.

      Skills and Abilities:

      • Strong Microsoft Office suite skills. Proficient in Word and Excel.
      • Strong verbal and written communication skills.
      • Must possess strong attention to detail and organizational skills.
      • Ability to work independently.
