      About the opportunity:

      Our corporate solutions group is seeking a MAC Manager to join and help our team successfully manage the administration, planning and implementation of people and equipment relocations for our federal government client.

      Responsibilities:

      • Provide the client with a single point of contact for all move management activities.
      • Establish move project goals and objectives, altering where necessary to ensure the desired project result.
      • Prepare and maintain project status reports, schedules, and communications.
      • Collaborate with client contacts to ensure correct relocation data is provided.
      • Review and ensure the space provided is adequate for relocating staff requirements.
      • Lead and coordinate optional JLL MAC Coordinator(s) and MAC Assistant(s) to ensure smooth delivery of relocations.
      • Evaluate relocation process and stakeholders and move vendors to ensure optimum performance.
      • Manage relocation-related issues and be the escalation point for move vendors and key stakeholders.
      • Meetings: Attend meetings with line area or property teams to gain an understanding of an upcoming relocation or provide advice on relocation activities such as:
        • Pre-move submission) time frames, information required, budget, expectations, special requirements, possible risks/issues, responsibilities of line area, MAC Manager and/or other stakeholders (ICT, WHS, Property teams.).
        • (Upon quote approval) logistics of relocation, move instructions, stakeholder engagement, confirm engagement of other stakeholders’ engagement.
        • Complete a pre-move walk-through with the line area the day of relocation to ensure staff are prepared/packed for relocation, answer queries and address any issues if required.
        • Post-move/lessons learned meeting to ensure optimum process is in place for future relocations.

      Stakeholder management/communication: While the line area may still be required to engage some stakeholders (such as requesting office or tambour unit keys), the MAC Manager will engage and communicate with stakeholders to:

      • Ensure all stakeholders are advised of relocation date/time.
      • Coordinate removalist and ICT activities.
      • Provide relocation details to stakeholders including, but not limited to, security, WHS, mail room/records management etc. of staff movement and new locations.
      • For larger relocations organise and attend stakeholder meetings to discuss the move and its impacts, stakeholder requirements and roles, additional activities required etc.
      • Provide email advice to other line areas that an upcoming relocation may cause disruption to their staff in the surrounding areas.
      • Update regarding risks mitigated, issues encountered, and actions taken, lessons learned/process updates, project closure advice.

      Removalist management:

      • Assist with removalist queries/issues prior to the relocation.
      • Assist with rescheduling if required.
      • Assist with access issues or escort requirements.
      • Either be on call or onsite with removalist during relocation to troubleshoot and ensure quality service is provided.
      • Be onsite for post move walk through with removalist.
      • Finance Management:
      • Organise removalist quote and seek client approval.
      • Ensure relocation stays on budget, if additional charges are required provide justification and description of additional activities.
      • Submission of removalist invoice.

      Records Management and Process Documentation:

      • Ensure all move related documents are stored in JLL and/or the client's record management systems including Serraview.
      • Ensure work instructions provided to line areas/stakeholders are correct and up to date.
      • Update process documents post move to ensure optimum service provided for future relocations.

      What are we looking for:

      You'll need to be a dynamic individual with a flair for technology to pick up on utilising software to support your relocation solutions.

      • 1-3 years experience in people relocations, facility or project management, ideally in a corporate environment.
      • A background in project strategy and planning is desirable.
      • Be highly organised with strong interpersonal skills to communicate at an executive level.
