- Schedules/plans delivery based on stakeholder departments and package volume.
- Recommends whether to replace or repair equipment based on economics/cost.
- Interviews and selects work study candidates for warehouse work in Shipping & Receiving.
- Determines best freight off load plan and method of execution.
- Inbound freight has damage which must be noted and communicated to carrier and vendor.
- Inbound package piece counts do not match manifest, shortages must be noted with carrier and vendor.
- Freight offload entails complexity, best method of freight retrieval onboard is determined by the position.
- Freight/package receiving is heavy and check in is required while outbound campus packages must be delivered, position must determine best method for accomplishing both tasks.
- Must have 6 months direct carrier package receipt experience [Receiving from common carriers ie. FedEx, UPS, DHL, USPS]
- Must have 6 months delivery experience.
- Must have evidence of computer data entry.
- Evidence of excellent customer service.
- Must have a high school diploma or equivalent.
- Evidence of increasingly complex strategic freight receiving and delivery
- Technical skillset including data entry &/or reporting from enterprise ERP system.
- Prior history of higher education campus delivery.
- Active forklift operation certification and demonstrated work history with forklift use.
- Must be able to pass pre-employment physical and drug screen.
- Possession and maintenance of valid Colorado driver’s license (Position requires ability to drive motorized vehicle and/or mini trucks for delivery on main and auxiliary campuses)
- Essential Services Designation (Required to be on duty to perform essential and/or emergency services of the University without delay or interruption.)

- Possession of forklift certification or ability to receive forklift certification within 30 days of hire.

The Purchasing Department comprises the work group. The Purchasing work unit provides comprehensive procurement to order fulfillment oversight for the Colorado Mesa University campus working closely with the Accounts Payable team for vendor payment. Included in this work unit’s responsibilities are the administrative functions of procurement, risk management, with the physical campus shipping and receiving, campus mail distribution and campus fleet management. The Shipping & Receiving Manager is responsible for all incoming and outgoing campus shipping and freight, on campus package distribution and provides support to fleet management. Some positions may require licensure or certification.DESCRIPTION OF JOBPrimary Job Duties: The Shipping & Receiving Manager is responsible for all incoming and outgoing campus shipping and freight, provides the logistical distribution across multiple campuses of campus freight, packages, and mail. The position provides the single point of contact for all shipping carriers and for campus stakeholders seeking packages This position provides support to fleet management with vehicle and field support for campus vehicles. This position manages and is responsible for work study students to augment Purchasing staff to increase field efficiency in daily distribution. The Shipping & Receiving Manager provides equipment maintenance and repair oversight for vehicles and equipment used in support of receiving freight and on campus distribution including but not limited to two mini trucks, a forklift which supports functions across campus, a 15-passenger van and various small equipment including pallet jacks, dollies and other freight moving tools.
Logistical abilities in complexities of off-load are required to assess best methods to retrieve freight including pallet pulls, fork extensions and optimum placement of delivering trucks for offload. Shipping & Receiving Manager is responsible for successful daily deployment of deliveries on campus while maintaining availability for freight offload as received at the warehouse destination.
The Shipping & Receiving Manager is required to be proficient in the full receiving functionality and Central Stores module in the campus ERP Banner and the department’s eProcurement system Source360. The Manager will have a working knowledge of Excel with the ability to compile data and run spreadsheets in support of the warehouse functions. The Manager will be proficient in the Microsoft Office Suite as it relates to the job with Outlook and Teams as one primary form of communication.
The Shipping & Receiving Manager also has working knowledge of campus mail distribution on campus and will often provide support for campus mail retrieval from central USPS location, mail sorting, on campus mail delivery and outgoing mail pick up for metering on a daily basis. Support for all campus distribution functions is a position expectation in staff absence. Duty Statements include but are not limited to:
Receipt of all in-bound freight and package deliveries from carriers (37% of Job):
Responsible for package chain of custody from receipt through on-campus delivery utilizing campus technology and tools.
On-campus delivery of packages and freight (35% of Job):
Sort and distribute all packages from central receiving to stakeholder departments across main and auxiliary campuses. Provide strategic logistical support for freight deliveries and complex orders.
Central Stores Inventory (5% of Job) + Campus Copier Consumable Inventory (3% of Job):
Maintain inventory of single commodity stock item for campus issuance and delivery. Maintain inventory of copier consumables on campus for on-campus delivery to stakeholder department on as needed basis.
Capital Asset Management (5% of Job):
Identify, tag, log and monitor capital assets on campus reporting inventory to the Controller’s Office as needed.
Functional Warehouse Set up (5% of Job):
Maintain organized warehouse space to effectively preserve working space and allow storage of items with easy identification, assist Facilities with surplus identification and relocation.
Data Entry (5% of Job):
Manage University’s UPS account providing shipment reconciliation and payment activities for vendor invoices at discretionary levels under Purchasing department oversight.
Fleet Rental Van Support (3% of Job):
Provide maintenance support to the University’s academic rental fleet of 15-Passenger vans.
Other duties as assigned (2% of Job):
Includes but not limited to working with Facilities on projects as needed.
