      The Operations Administrative Assistant must be a highly motivated individual who is eager and ready to accept additional responsibilities when needed. This position is responsible for providing administrative support to various operational departments, including Front Office, Housekeeping, Food & Beverage Outlets/Banquets, and Security. The ideal candidate has a friendly demeanor, the ability to learn new computer programs, can multitask, and complete projects in a timely manner. This person should demonstrate exceptional customer service and problem-solving skills and must thrive in a dynamic, guest-focused environment.

      Essential Duties & Responsibilities:

      • Complete weekly payroll processing for all Operations departments.
      • Gather and input departmental schedules into Dimensions (or applicable scheduling system).
      • Track and maintain updates on departmental tasks, goals, and accomplishments.
      • Reconcile P-Card purchases, ensuring accurate coding and proper maintenance of receipts.
      • Run weekly expense reports to track and balance against the operations checkbook.
      • Create purchase orders for operational goods and services.
      • Track daily payroll and communicate any variances to forecast in a timely manner.
      • Ensure all time edits are completed by 10:00 AM daily.
      • Schedule interviews for job applicants; ensure timely and accurate updates are provided to Human Resources.
      • Take detailed notes during operations meetings and ensure proper communication is shared with all relevant leaders.
      • Provide administrative support to operational leaders across all key departments.
      • Maintain organized filing systems and ensure confidentiality of sensitive information.
      • Assist with internal communications, guest service follow-ups, and other operational documentation as needed.
      • Perform other duties or special projects as assigned by the Director of Operations or General Manager.

      Required:

      • High school diploma or equivalent; associate or bachelor’s degree in hospitality, business administration, or a related field preferred.
      • Minimum 2 years of administrative experience, preferably in a hotel or hospitality setting.
      • Strong computer proficiency, including Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
      • Strong organizational skills and ability to multitask across multiple departments.
      • Excellent verbal and written communication skills.
      • Professional demeanor, attention to detail, and discretion in handling confidential information.

      Preferred:

      • Experience with Hyatt systems such as Workday, Opera, Dimensions, HotSOS, or BirchStreet.
      • Working knowledge of hotel operations and scheduling platforms.
      • Bilingual skills are a plus (based on property location).
