Job Description

- Greets participants and provide information regarding eligibility for services.
- Measures WIC Overseas participants (height and weight).
- Screens for eligibility, as outlined in DoD WIC Overseas Policy and Procedure Manuals.
- Explains required forms.
- Obtains signatures.
- Collects demographic and financial information and prepare participant files.
- Enters accurate data into the computer system.
- Issues drafts following DoD Policy and Procedures and maintain an audit trail.
- Issues appropriate WIC Overseas termination notices to participants.
- Monitors and secure draft inventory.
- Assists in managing daily participant flow in a timely manner.
- Answers incoming calls, determines caller’s need, triages call appropriately, and schedules needed appointments.
- Manages participants’ files.
- Provides requested reports accurately and in a timely manner.
- Prepares daily statistics on participant services.
- Prepares data for transfer.
- Backs up computer at the end of the day.
- Maintains documentation of missed appointments and perform outreach to reschedule participants.
- Assesses participant service needs to include participant satisfaction surveys.
- Assists WIC Overseas Certified Professional Authority (CPA) as needed.
- Attends meetings and other training as assigned.
- Participates in community events and briefings.
- Works as a team to keep the office clean, safe, comfortable, and functional.
- Maintains HIPAA standards.
- Maintains office schedule for participants, ensuring appropriate time is allowed for each type of appointment.
- Performs other job-related duties as assigned.
- High school diploma or equivalent with secretarial, administrative/business office/ medical office experience. Business training or associate degree preferred. Experience in a healthcare related field desirable
- Good communication skills, basic math, recordkeeping skills, ability to work without constant supervision and ability to handle several tasks at once.
- May require travel by Privately Owned Vehicle (POV). Current acceptable driver’s license, e.g., USAREUR/International and personal vehicle for use in carrying out required duties. Personal auto liability insurance is mandatory.
- Knowledge and experience with IBM compatible computer, MS word or WordPerfect, and Excel software.
- Must keyboard 40-60 WPM.
- Working knowledge of office equipment.
- Must be able to lift and carry a minimum of 50 pounds.

Part-Time Administrative Assistant
Facilitating communication between participants, their families, and external medical and social service agencies. Gather and enter intake information from participants into the automated enrollment software. Take charge of administrative office operations, including maintaining participant files, delivering participant services, and assisting with supply procurement. Contribute to the preparation of office reports and the transmission of program data.
Compensation & Benefits:
Estimated Starting Salary Range for Administrative Assistant: $16.39
