      Job summary

      Whitwick Road Surgery are seeking a proactive and motivated Practice Manager to join our friendly team who will bring enthusiasm and commitment to the role. Ideally a full time individual, although a 4 day working pattern would be considered.

      Main duties of the job

      The successful candidate will need to work collaboratively with the Partners to develop and implement strategy, be responsible for organisational leadership, successfully deliver against service targets and manage change and improvements both for the organisation and the services we provide. The role requires an ability to work well with all members of the practice team and with external colleagues and organisations. Experience within a primary care or GP setting is desirable.

      We are looking for a confident and resilient individual with excellent communication skills who will ensure the smooth running of the practice, whilst leading the practice team and responding to the diverse and dynamic nature of general practice healthcare. They will be responsible for the financial efficiency of the practice and all aspects of health and safety, HR and Care Quality Commission compliance.

      Job responsibilities

      To manage and coordinate all aspects of practice functionality, motivating and managing staff, optimising efficiency and financial performance, ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment. Through innovative ways of working, lead the team in promoting ED&I, SHEF, Quality & CI, Confidentiality, Collaborative Working, Service Delivery, Learning and Development and ensure the practice complies with CQC regulations.

      Primary Responsibilities

      The following are the core responsibilities of the practice manager. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

      The practice manager is responsible for:

      a. Overseeing the strategic direction and day-to-day operations of the practice, ensuring staff achieve their primary responsibilities

      b. Functional management of all clinical and administrative staff

      c. Direct line management of the following staff: Assistant Practice Manager, Admin Team Leaders and Administration Staff. HR & Administration management of nursing team, salaried GPs and ARRS staff (as appropriate via the GP Federation)

      d. Managing the recruitment process for the practice

      e. Establishing, reviewing and regularly updating Job Descriptions and Person Specifications

      f. Ensuring all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively

      g. Leading change and continuous improvement initiatives

      h. Writing, coordinating, reviewing and updating all practice policies and procedures including delegating as appropriate to other practice staff

      i. Coordinating and lead the compilation of practice reports and the practice development plan (PDP)

      j. Developing, implementing and embedding an efficient business resilience plan (BRP)

      k. Managing all financial elements of the practice, including budgets, cashflow, monitoring, reporting and petty cash in conjunction with the partners

      l. Managing contracts for services i.e. cleaning and utilities

      m. Ensuring the team reach all practice targets including QOF, PCN DES, IIF and medicine optimisation schemes (supported by the clinical and administrative leads)

      n. Managing all complaints and significant events effectively

      o. Coordinating the practice diary, ensuring meetings are scheduled, recorded and follow-up appropriately

      p. Representing the practice at external meetings as required including involvement in the Primary Care Network and GP Federation

      q. Marketing the practice appropriately

      r. Ensuring patient communication is timely and appropriate including the maintenance of the practice website, social media platforms and the production of practice newsletters as required

      s. Maintaining the practice and NHS choices websites

      t. Managing the Patient Participation Group

      u. Ensuring compliance with legislation and deal with disciplinary issues accordingly

      v. Responsible for ensuring the practice meets Care Quality Commission standards

      w. The management of the premises, including health and safety aspects such as risk assessments and mandatory training

      x. Managing the practice IT system, delegating staff to act as administrators

      y. Ensuring compliance with IT security and Information Governance

      z. Ensuring all students are appropriately inducted into practice systems and processes, liaising with external organisations in relation to the trainees and overseeing HR administration.

      • Good standard of education with excellent literacy and numeracy skills

      • Educated to degree level in healthcare or business
