      Job Summary:

      The Procurement & Preventative Maintenance Project Manager is a hybrid role that supports procurement-related project coordination for fitness and wellness amenity projects, while also supporting preventative maintenance (PM) operations as needed. The position requires exceptional attention to detail, strong communication skills, and the ability to manage multiple projects and maintenance workflows simultaneously.

      This individual is responsible for coordinating fitness equipment procurement from order to installation--including documentation, scheduling, project tracking, and milestone completion--while also assisting with PM tasks such as sourcing replacement parts, uploading service contracts for legal review, and supporting AP/AR processes. The ideal candidate thrives in a fast-paced environment, can juggle projects at various stages, and knows when to escalate issues appropriately.

      Key Responsibilities

      Procurement Coordination & Project Execution
      • Coordinate procurement for fitness center builds, remodels, equipment refreshes, and amenity upgrades.
      • Maintain detailed procurement trackers aligned with construction and installation timelines.
      • Manage all project documents, including purchase orders, spec sheets, freight details, and closeout packages.
      • Track longlead equipment items and proactively communicate risks or delays.
      • Coordinate delivery logistics, warehousing, staging, installation schedules, and punch list resolutions.
      • Ensure all procurement milestones--order placement, ship dates, receipt, installation, and closeout--are executed on time.

      Preventative Maintenance Program Leadership
      • Design and implement standardized preventative maintenance programs across fitness, spa, and amenity environments
      • Develop asset inventories and lifecycle tracking frameworks
      • Establish maintenance schedules aligned with manufacturer recommendations and operational demands
      • Drive consistency across sites to reduce downtime and extend asset life
      • Partner with Operations to ensure maintenance accountability and compliance

      Digitalization & Systems Optimization
      • Lead implementation or optimization of CMMS (Computerized Maintenance Management Systems) or asset tracking platforms for procurement and preventive maintenance.
      • Build dashboards and reporting tools to monitor:
      • Equipment uptime
      • PM completion rates
      • Repair costs and trends
      • Asset lifecycle performance
      • Integrate procurement and asset data to improve forecasting and capital planning
      • Develop automated reporting capabilities for leadership visibility
      • Identify opportunities to leverage technology for predictive maintenance and cost savings

      Cross-Functional Collaboration
      • Partner with Design, and Preventative Maintenance teams to ensure assets are maintainable and operationally efficient
      • Serve as liaison between vendors, service providers, and internal stakeholders
      • Support PM leadership with data-driven insights

      Qualifications
      • Bachelor's degree in Business, Facilities Management, Hospitality, or related field
      • 2-5+ years of experience in procurement, facilities, capital project management, or asset management within hospitality or fitness environments
      • Strong technology proficiency
      • Strong analytical and process improvement mindset
      • Proven ability to manage multiple projects and deadlines simultaneously
