      JOB TITLE: Program Administrative Assistant II


      LOCATION: History Center - 345 W Kellogg Blvd., St. Paul, MN 55102

      COMPENSATION: Typical starting range $22.13 - $23.83 hourly


      STATUS & HOURS: Full-time, regular (approximately 2,080 annual hours) position.


      BENEFITS: Eligible to participate in State Employee Group Insurance Program and a retirement program with employer contribution. Generous vacation and sick time accruals with additional paid holidays.

      DESCRIPTION: This position exists to perform administrative duties to support the work of the MNHS membership and development programs - specifically for fulfillment of legally required actions for 501c3 organizations such as tax receipts etc.


      SUMMARY OF WORK: 1) Provide customer service and support to members by functioning as a lead team member of the membership back office team in supporting member needs and inquiries; 2) Assist with the renewal, solicitation, data hygiene, and membership fulfillment process for the Membership program; 3) Provide administrative support for Advancement and Membership events; 4) Production oversight for comp membership donation requests; 5) Provide budget support by processing all US Bank transactions using the organization's accounting system Munis; 6) Support daily department operations; 7) Provide administrative and clerical support for the assistant to VP of Advancement, Senior Manager, Membership, Event Coordinator as needed for their work with events, major donors and special projects; and 8) Work closely with volunteers, interns and fellows to create productive relationships, enhance work quality and maintain a safe work environment.


      MINIMUM QUALIFICATIONS:

      • High school diploma or equivalent.

      • Five years administrative support experience.

      • Availability to work on occasional weeknights and weekends.

      • Ability and willingness to travel.

      • Valid driver’s license.



      DEMONSTRATED SKILLS IN OR KNOWLEDGE OF:

      • Word processing, including Microsoft Office and Google Suite.

      • Data processing, including familiarity with a Customer Relationship Management (CRM) database system Tessitura or other platforms such as Hubspot.

      • Administering budget requests and processing purchasing requests.

      • Thinking imaginatively and problem solving.

      • Delivering positive customer service.

      • Multitasking, working effectively under pressure to meet deadlines, prioritizing and adapting to changing priorities.

      • Working independently and taking individual initiative while also being able to collaborate effectively and contribute positively in a team environment.

      • Detail orientation with the ability to synthesize and organize complex information and maintain/upgrade systems and processes.

      • Building interpersonal relationships and communicating clearly and effectively.

      • Working with a high degree of diplomacy and maintenance of confidentiality is required.

      • Development and membership best practices.



      DESIRED QUALIFICATIONS:

      • Strong personal computer skills including intermediate or higher skill level with Microsoft Office software and multi-relational CRM databases.

      • Strong ability to work within an electronic, data driven environment.

      • Experience using MUNIS, Tessitura and Hubspot or similar platform.
