- Drafts and edits proposal sections including resumes, past performance, management approach, technical narratives, and standard content.
- Tailors boilerplate text to align with solicitation requirements and customer needs.
- Conducts research to gather company information, market data, and technical inputs to support proposal narratives.
- Reviews RFx instructions to ensure content adheres to formatting, organizational, and compliance requirements.
- Assists in creating and maintaining compliance matrices and proposal templates.
- Ensures consistency in style, voice, and terminology across all proposal documents.
- Works closely with Proposal Manager, Sales Directors, and Subject Matter Experts to gather required inputs.
- Tracks proposal tasks, deadlines, and document versions throughout the response process.
- Supports coordination of internal reviews and incorporates reviewer feedback.
- Prepares final proposal deliverables including formatting, proofreading, graphics placement, and PDF production.
- Assists in preparing electronic and/or physical submissions in accordance with solicitation requirements.
- Maintains content libraries, style guides, and reusable proposal materials.
- Bachelor's degree in Business, English, Communications, Marketing, or related field-or equivalent experience.
- 1-5 years of experience in proposal writing, coordination, and/or management.
- Strong writing, editing, and proofreading skills with exceptional attention to detail.
- Ability to work under tight deadlines and manage multiple tasks simultaneously.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and PDF production tools.
- Experience with government (local, state, or federal) proposal development.
- Familiarity with Shipley or other proposal management methodologies.
- Experience using content management systems, proposal tools, or design/graphics software (e.g., SharePoint, Salesforce, Monday, Canva, Adobe tools).
- APMP certification or interest in pursuing certification.
Job Summary:
Reporting to the Proposal Manager, the Proposal Specialist supports the end-to-end development of high-quality, compliant, and compelling proposal responses for sales opportunities. This role is responsible for writing, editing, coordinating inputs, maintaining proposal templates, and ensuring all deliverables meet requirements, brand standards, and submission deadlines. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, deadline-driven environment.
