- Office Facility Management: Oversee and enhance the office environment to ensure optimal functionality and comfort.
- Office Supplies and Logistics: Provide logistical support and manage the main storage area for NKSA.
- Safety and Security: Ensure the safety and security of the company’s facilities and employees, including the preparation of AMIO reports and participation in safety meetings.
- Reception Management: Maintain a safe and clean reception area, ensuring compliance with procedures, rules, and regulations. Document and communicate actions, irregularities, and ongoing needs. Manage courier services, indoor support, drivers, and guest services.
- Guest Management: Coordinate guest management activities, including issuing invitation letters and liaising with the relevant NKSA
- Subcontractor Coordination: Facilitate the selection and management of subcontractor contracts, including benefits and facility agreements, in collaboration with the NMEF Purchasing team.
- Utilities Budget Management: Oversee budgets for utilities such as electricity, water, and rent, ensuring all contracts align with budgetary constraints.
- Showroom Compliance: Ensure the NKSA showroom complies with all regulations set by traffic police, civil defense, and Jeddah municipality.
- Record Maintenance: Maintain company records related to traffic police (Tamm system), civil defense (Salamah system), and Jeddah municipality (Balady system).
- Government Relations: Manage government-related issues for the showroom, improve relations with government agencies, and handle forms and awareness management. Represent NKSA during government inspections and any related cases.
- Vehicle Management: Oversee the management of employee and marketing vehicles, including accidents, storage, maintenance, receiving, delivering, and selling cycles, while implementing related policies.
- Decision Making: Ensure timely decisions are made regarding parking, storage, showroom, and building renewals.
- Proven experience in office facility management or a related field.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Experience in managing budgets and financial records.
- Familiarity with safety and security protocols.
- Ability to coordinate with various departments and external contractors.
- Proficiency in maintaining records and handling government relations.
- Saudi National required.
- Experience in vehicle and guest management is a plus.
