- Delivers legendary customer service to all people who interact with the VPs, including fellow employees, peers, customers, and vendors.
- Strong influencing, interpersonal and communication skills. Ability to communicate effectively in both written and oral format with executive level management, and all internal/external contacts.
- Anticipates the needs of their team leads by proactively identifying ways to address issues and resolve problems quickly.
- Escalates issues within the department that warrant immediate attention.
- Perform other related duties and/or special projects as assigned.
- Assist with our Team Culture initiatives to foster a caring and collaborative work environment
- Support onboarding new hires for success, and assist with internal training as needed
- Maintain a positive, “can-do” attitude and embed enterprise collaboration across all teams
- Work closely with other KDP administrative assistants to share best practices and foster a collaborative work environment
- Calendar management
- Manages and prioritizes calendars and itineraries to ensure more effective use of VPs time.
- Proactively communicates with team leads to resolves scheduling conflicts.
- Travel management
- Manage travel for team leads using internal booking platform, reserving flights, hotels, and rental cars (as needed) in compliances with our Travel & Expense policy.
- Budget Management/Reports
- Manage T&E expense reports for VPs, and assist direct reports as needed, leveraging our internal reporting system, Concur.
- Ensuring expense reports are submitted in compliance with T&E policies.
- Meeting Management
- Assist VPs and Direct reports with meeting preparation including booking meeting rooms, including virtual meeting web links, and sending out accurate calendar invites.
- Assist the team, along with other administrative assistants, with large lunch meetings, offsite team meetings, or partner meetings.
- Willingness to understand the business and industry in which the department operates.
- Provide administrative support to VPs and direct reports, including using technology platforms to foster streamlined planning and meeting management.
- Organize workload to comply with deadlines and priorities and work independently to complete routine department or group functions.
- Strong organizational and technical skills including M365, Microsoft Teams, Esker, Concur and SAP Ariba.
- 2+ Years of College Preferred
- 5-7 Years administrative assistance experience required
- Senior administrative assistance experience preferred

JOB SUMMARY:This position is a critical role that supports four Vice-Presidents and one Senior Director, overseeing five high performing-functioning teams, including eighteen direct reports and their respective teams. The Senior Administrative Assistant serves as a key point of contact, facilitating communication and ensuring the smooth operation of daily activities. This is accomplished by being pro-active, having a detail-oriented approach and handling all requests in a professional manner that provides their team with exceptional communication and support. Advanced proficiency skills required in Microsoft Office, including PowerPoint, Word, and Excel. The ability to anticipate needs, think critically and offer solutions to problems is a plus.
