      Senior Executive Assistant, Deputy Secretary and Commissioner for Fair Trading

      Branch and Division: NSW Fair Trading, Fair Trading and Regulatory Services
      Location: Sydney – CBD and Parramatta offices (hybrid working arrangement available)
      Term: Full time temporary opportunity for 12 months (parental leave cover) commencing January 2025.
      Grade: Clerk Grade 9/10 - $125,693 - 138,510 + super

      About the role
      An exciting opportunity has arisen for an experienced Senior Executive Assistant to join the NSW Fair Trading Office of the Deputy Secretary supporting the Deputy Secretary, Fair Trading and Regulatory Services and Commissioner for Fair Trading.

      The successful candidate will be a motivated individual who will play a key role in providing a range of executive support to facilitate the effective day to day operation of the division. Your exceptional time management and communication skills ensure that the Deputy Secretary operates with ease and efficiency, facilitating seamless interactions with other executives, stakeholders, and staff.

      Proactive by nature, you anticipate the Deputy Secretary’s needs before they arise, always staying one step ahead. You bring valuable assistance to the Deputy Secretary and her leadership team, ensuring smooth coordination and project execution. Known for your discretion and integrity, you handle sensitive information with the utmost confidentiality, earning the trust of all you work with – always demonstrating the NSW public service values of integrity, trust, service and accountability.

      This is a 12 month opportunity commencing early January 2025. We are looking for a highly organised and driven individual who is passionate about consumer protection and comfortable working in a fast-paced environment to join our team and hit the ground running.

      Responsibilities will include

      • Manage the Deputy Secretary’s calendar and communication channels efficiently and effectively and direct enquiries as appropriate to facilitate the effective management of the Deputy Secretary’s office while ensuring the security and confidentiality of documentation and information to expected standards.
      • Contributing to effective business planning and implementation, coordinating and contributing to projects, undertaking operational reviews and supporting effective divisional communication.
      • Provide high level secretariat support for leadership meetings, steering committees, and similar governance bodies including preparing agenda items and minutes.
      • Analyse, prepare and present information to support meetings, presentations, speeches and interactions with key internal and external stakeholders.
      • Manage the administrative functions of the Deputy Secretary’s office including managing diary, expenses, correspondence, deadlines, events, and meetings.
      • Contribute to the development of, and monitor, implement and evaluate administrative practices, systems and procedures to optimise efficiency and support the achievement of quality outcomes for the Deputy Secretary’s office.

      To be successful in this role you will have the following

      • Demonstrated experience supporting senior executives.
      • Exceptional written and verbal communication skills.
      • Exceptional organisation and prioritisation skills - being able to manage conflicting priorities in a highly dynamic and fast paced environment.
      • Strong critical thinking techniques.
      • Ability to work collaboratively - building and maintaining positive relationships with high level internal and external stakeholders.
