Job Description

- Serve as Lead manager for a variety of fundraising and philanthropic events including donor events, sponsor events and annual fundraisers
- Manage event logistics and vendor relationships for fundraising, stewardship and cultivation events as assigned
- Manage event and stewardship communications throughout the season working closely with the Development Communications team
- Manage event tracking, ticketing, and logistics for the Annual Gala, Blossom Summer Soirée, and Holiday Fundraiser using Tessitura, Arts Vision, web-based programs and Excel
- Manage data entry, financial reporting, and pledge collection for fundraising events
- Provide excellent customer service in daily interface with donors
- Support the Director of Special Events with the planning and execution of national and international Patron Tours
- Assist Director with tracking all event and stewardship related budgets (revenue and expenses)
- Assist Director with the planning and implementation of all fundraising events including the Annual Gala, Blossom Summer Soirée, and Holiday Fundraiser, managing key pieces including:
- Attend planning meetings with committees and outside vendors
- Serve as primary contact for event logistics including all communications, concert and dinner seating, event setup and vendor relations
- Oversee donor correspondence including solicitation and acknowledgement letters, invoices, special donor thank-you notes, etc.
- Collaborate with Friends of The Cleveland Orchestra and Blossom Friends on volunteer activities and events, including:
- Cultivation and stewardship events
- Fundraising events
- Governance meetings
- Volunteer recruitment activities
- Assist volunteer leadership with recruitment strategies and membership management:
- Implementation of online volunteer portal
- Prospect identification within volunteer groups for cultivation and solicitation by The Cleveland Orchestra
- Manage The Cleveland Orchestra’s young professionals’ program, The Circle
- Serve as primary liaison to The Circle Board on activities and events, including:
- Social events for The Circle
- Fundraising events
- Governance meetings
- Membership recruitment activities
- Board recruitment
- Manage and implement The Circle’s membership program, including:
- Monthly Circle donations
- Event planning and logistics for Circle social events
- Marketing and recruitment
- Program budget
- Serve as primary liaison with Cleveland Orchestra management to schedule and coordinate musician’s donated or paid services for donor activities; coordinate with other P&A staff
- Bachelor’s Degree with at least 2-4 years of similar experience
- Strong interpersonal skills with the ability to communicate with diverse groups of people and work across multiple teams
- Ability to be discreet and maintain a high degree of confidentiality
- Ability to be flexible and successfully prioritize to manage multiple projects and deadlines
- Outstanding organizational skills, with a high attention to detail
- Demonstrated independent, mature judgment
- Ability to consistently maintain a professional image and demeanor
- Strong problem-solving skills combined with a collaborative approach
- Ability to work independently and as a collaborative team member
- Proficient with Microsoft Office suite, especially Word and Excel; experience with donor databases required
- Must be able to travel between locations (Severance Music Center and Blossom Music Center) as well as nationally
- Ability to work a flexible schedule that includes evenings and weekends
The Cleveland Orchestra is seeking a Special Events Manager who will be responsible for planning and executing fundraising events within Severance Music Center, Blossom Music Center, and on occasion out of town/state. The Manager oversees the implementation of ongoing stewardship activities throughout the season including event communications, pre-event mailings, and tracking of the events and budgets. The Manager also is the key staff liaison for the Friends of the Cleveland Orchestra, The Circle and other fundraising event committees. This position is a key member of the Special Events team and ensures that donors are appreciated, informed and engaged while helping to build a culture of philanthropy.
