- Participates in development of a yearly plan for special events that address the Clinic's need for recurring current-use dollars and volunteer engagement.
- Develops and implements pre-production project plans including dates, tasks and logistics.
- Develops special events related procedure manuals, relevant correspondence, and tracking systems.
- Recruits, trains, supervises and coordinates volunteers for Special Events.
- Serves as the point person with clinic staff, venue staff, Board members, Young Professional Committee members, volunteer event chairs and other volunteers to organize the efficient execution of the plans; provides leadership, direction and motivation to staff and volunteers to meet the objectives of the project.
- Markets the events to corporations, individuals and the broader community to gain support as sponsors and to increase attendance and participation.
- Obtains auction and raffle/opportunity drawing items for sale before and at events and via online initiatives; manages the sale and delivery of such items before, during and after events.
- Creates invitations, posters and other marketing materials; drafts and edits copy; works with communications staff and graphic artists to ensure the final products present the Clinic in accordance with standards
- Manages events financials; including events revenue and expense files and collection of all pledges.
- Manages event operations/logistics including but not limited to the booking of facilities, food, entertainment, decor and equipment; staffing; promotion and marketing (with communications staff); ticket sales.
- Manages logistics of events to ensure the events run smoothly as planned and to resolve problems that arise.
- Works with Supervisor and event chairs to help identify, solicit and cultivate new donors and long-term supporters for events, as well as companies and individuals for volunteer opportunities and assembly days.
- Ensures sponsors, volunteers and others are appropriately recognized in publicity materials, on the website, in-person, and with acknowledgement letters.
- Works with Supervisor to develop and implement retention strategies for past event attendees and new prospects to bring continuing support to the Clinic.
- Ensures all event activities support and are consistent with the Clinic’s mission and values.
- Works with Donor Database to track communications with prospective and current donors.
- Develops and monitors budgets for special events including forecasting income and expenses; evaluating cost allocating use of funds; recommending changes to increase revenue, improve efficiency and/or reduce expenses.
- May perform any or all of the duties of other development staff.
- A working knowledge of special event production in nonprofits, preferably including experience in a human services organization.
- Demonstrated fundraising skills including successful sponsor cultivation and individual solicitation.
- Several years of hands-on experience in successful special event activities, from initial planning through implementation, and maintain these over the long-term.
- Very effective oral and written communications skills sufficient to write for publication; study and interpret complex documents; develop and implement presentations for management, the board and the public; and to represent the organization in public forums.
- Demonstrated leadership skills to supervise a small staff of employees and/or volunteers; manage outside contracts with consultants and vendors; and guide the work of groups of volunteers.
- Must work evenings and weekends as needed.
- Demonstrated organization/project management skills to plan and implement major projects simultaneously, at various stages of implementation.
- Computer skills sufficient to meet demands of the job including Microsoft Office and donor database software.
