Summary
The primary purpose of the Senior Administrative Assistant is to provide administrative secretarial support to assigned faculty, and the Centers within the Department of Anesthesiology and Perioperative Medicine. The Senior Administrative Assistant will use independent judgment and complex analysis to gather facts and determine appropriate solutions to complete supportive tasks.
Sr. Administrative Assistant opportunity in the Anesthesiology and PeriOper Medicine department. The ideal candidate must have a high school diploma or equivalent and at least five years of administrative/secretarial experience.
The ability to multitask, problem solver, work independently with minimum supervision, be detail-orientated, and have good organizational skills is a plus.
Prefer candidates with Microsoft Office, who possess clear written and verbal communication skills. Able to work well independently or with a team, task-oriented, and organized.
Shift: Monday – Friday 7:00am-4pm or 7:30am-4:30pm shift will be assigned based on business needs
Key Functions
Faculty Support: Provides high-level administrative secretarial support encompassing a broad skill set including, but not limited to:
Administrative secretarial support to assigned Department of Anesthesiology and Perioperative Medicine
Types, proofreads, edits and formats all documents to achieve error-free output.
Assists faculty with calendar management insight into date and time conflicts, confirm completion of requests, reminds faculty appropriately (per faculty’s preference).
Processes travel within 24-48 hours (2 business days) turnaround upon receipt of information to include scheduling flights, hotel arrangement, registration, etc.
Submits all reimbursement requests within 24-48 hours (2 business days) of obtaining receipts, monitors and creates reimbursement submissions to ensure compliance to institutional established 45-day policy. Gives faculty appropriate reminders to turn in receipts.
Completes written forms for license/certification renewals and medical/specialty society dues/applications for assigned physician staff by specific renewal/submission date.
Completes CV updates as identified or requested by faculty via FIS entry.
Participates and assists in patient care process by handling telephone calls for patients, referring physicians and/or care centers, as needed.
Processes PRS and time-off requests and maintains, monitors, and reconciles PRS, PTO and Extramural Time logs for assigned faculty, providing accurate and timely reports upon demand.
PRS log updated each time expenses/reimbursement encountered.
Prepare PRS logs for monthly reconciliations meeting 85% due dates.
Monitors assigned faculty’s off-site agreements for yearly inventory. Assists inventory personnel with scanning the faculty’s equipment.
Updates PTO logs whenever a time-off request is submitted. Prepares PTO logs for quarterly audits.
Reconciles PTO logs monthly for faculty.
Serves as backup to the Assistants
Assist with training and mentoring new employees
Assist with orientating new faculty
Create PowerPoint Presentations/Excel Documents
Journal Searches
Create digital questionnaires, polls, surveys, and sign ups using online digital software such as Doodle poll, Survey Monkey, or Qualtrics survey software
Provide faculty and department project and event assistance throughout the department as requested, can include conference organizing and support.
Other duties as assigned.
Qualifications - External
EDUCATION
Required: High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred Associate’s degree, three years of required experience and with preferred Bachelor’s degree, one year of required experience.

EXPERIENCE
Required: Five years of administrative/secretarial experience.
Preferred: Five years secretarial/administrative experience in an oncology clinical/hospital setting.
