Job Description
- Req#: 8125
- Oversees all departmental spaces including offices and labs; ensures timely opening and closing of departmental offices, arranges maintenance of office/lab equipment; submits IT and Facilities Customer Service tickets for the department and coordinates Surplus items pick-up requests; coordinates student access to labs; making assignments as needed to provide faculty, student, and program support.
- Performs office duties, including: answering phones; greeting and directing visitors; directing inquiries to the main department phoneline and email address to appropriate parties; data entry; filing; calendar and conference room-booking management; sorts, screens, and distributes incoming and outgoing mail.
- Coordinates with student office assistants to maintain efficient support schedules and manages student office assistant leave requests, supervises daily tasks and moderation of program listservs and social media accounts, and facilitates opening and closing of student lab and study spaces.
- Provides office support to departmental staff and faculty as possible and appropriate, including: editing of program documents and correspondence, scheduling and attending meetings, and managing room reservations.
- Performs miscellaneous job-related duties as assigned.
- Corresponds with University Development Office to coordinate alumni outreach.
- Assists with course scheduling and correspondence with Scheduling Office as needed.
- Attends meetings, takes minutes, and represents the Program Directors to various stakeholders as directed and appropriate.
- Promotes and helps coordinate program related student development opportunities (field-schools, internships, undergraduate teaching fellowships, peer advisors, etc).
- Coordinates activities that help raise visibility of Sociology, Anthropology, and Criminal Justice across campus and staff special events (e.g. Day on the Quad, Light on the Hill, etc.).
- Performs miscellaneous job-related duties as assigned.
- High school diploma/GED or aptitude is required.
- Skilled with computers and related software.
- Skilled with basic office equipment, including printers, copiers, and telephone systems.
- Strong verbal and written communication skills.
- Ability to handle sensitive and confidential business data and personal information.
- Excellent organization and customer service skills.
- Ability to lead and train support personnel.
