Manage and triage inboxes on behalf of the CEO and other leaders as needed
Draft, organize, and respond to emails with professionalism and discretion
Flag high-priority messages and ensure timely follow-up
Maintain organized inboxes, folders, and communication workflows
Support the onboarding process for new practice owners joining Finni Health
Assist with sending onboarding communications and templates as directed
Track completion of required onboarding steps and surface blockers to the appropriate owner
Coordinate logistics and handoffs across internal teams (operations, credentialing, HR)
Help maintain accurate onboarding records, trackers, and documentation
Identify friction points in the onboarding experience and suggest improvements
Create and maintain trackers, documents, and internal systems
Assist with scheduling meetings, calls, and follow-ups across time zones
Support ad hoc projects for the CEO and leadership team
Identify gaps, inefficiencies, or breakdowns in processes and proactively propose improvements
Help build, document, and refine standard operating procedures (SOPs)
Bring structure to recurring workflows and evolving initiatives
Adapt responsibilities as the company grows and priorities shift
1-3 years of experience as a Virtual Assistant, Executive Assistant, Operations Assistant, or similar role
Experience supporting executives or founders in a fast-paced environment
Strong written English skills and professional email communication experience
Excellent attention to detail and follow-through
The ability to manage multiple priorities without dropping the ball
Proficient in Google Workspace (Gmail, Docs, Sheets, Calendar)
Comfortable using Slack and other collaboration tools
Experience with task management tools, CRMs, or onboarding platforms is a plus
Quick to learn new systems and software

The Role
We are seeking a Virtual Assistant (Philippines-based) to work closely with our CEO and leadership team. This role is highly trusted, detail-oriented, and operational in nature. You’ll be responsible for managing key inboxes, supporting executive-level communication, and supporting large portions of the onboarding experience for new practice owners joining Finni Health.
This is an ideal role for someone who thrives behind the scenes, enjoys building and running processes, and takes pride in keeping leaders organized and operations moving smoothly.
