Job Summary:

This role functions as the primary point of contact for patients and is responsible for ensuring an efficient and effective patient intake process within the healthcare facility. This role supports operational performance by coordinating patient admissions, verifying insurance eligibility, and facilitating appropriate patient flow across service areas. The position requires strong customer service capabilities, attention to detail, and a working knowledge of healthcare administrative and revenue cycle processes. Core responsibilities include patient registration, insurance verification, copayment collection, appointment scheduling, and the accurate maintenance of patient information in accordance with organizational standards and regulatory requirements.

Essential Responsibilities:

  • Greet patients and verify their demographic and insurance information.
  • Enter and maintain accurate patient information in the electronic health record system.
  • Verify patient insurance coverage and explain benefits, copays, and deductibles.
  • Assist patients with completing insurance forms and required documentation.
  • Coordinate with clinical staff to ensure timely patient appointment scheduling.
  • Manage cancellations or rescheduling as needed.
  • Collect co-pays and other patient payments at the time of service.
  • Provide patients with information regarding billing processes and payment options.
  • Assist with resolving billing issues and discrepancies.
  • Answer patient inquiries in person and over the phone.
  • Provide information about clinic services, locations, and procedures.
  • Assist patients with mobility needs, including providing wheelchairs or other assistance.
  • Maintain accurate and up-to-date patient records.
  • Ensure all patient information is kept confidential and complies with HIPAA regulations.
  • Prepare and distribute patient documentation as required.

Basic Qualifications:

Experience

  • Minimum one (1) year customer or member service experience, preferably in a health care setting.

Education

  • High School Diploma or General Education Development (GED) required.

License, Certification, Registration

  • N/A

Additional Requirements:

  • Knowledge of medical terminology and healthcare administrative processes.
  • Proficiency in using electronic health records systems and other healthcare software.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent customer service and interpersonal skills.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to handle sensitive and confidential information with discretion.

Preferred Qualifications:

  • Associates degree in Health Administration, or related field.
  • Certified Healthcare Access Associate (CHAA).
