What You'll Do
Our surgery schedulers are responsible for scheduling surgical appointments for patients in an efficient and timely manner.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
1. Coordinates and schedules/reschedules patients' surgical appointments.
2. Verifies insurance coverage and scope of benefits; utilizes online verification processes.
3. Obtains pre-authorization, referrals, or pre-certification for surgical procedures.
4. Maintains and updates current information on physician's surgery schedules.
5. Informs patient of details regarding surgical appointment, to include: dates of pre-op and post-op appointments, surgical orders, and arrival time; answers questions.
6. Generates and mails/secure messages letter of instruction to patients.
7. Completes anesthesia questionnaire and faxes to anesthesiologist.
8. Prepares in-office-surgery consents.
9. Completes surgery orders and faxes with pertinent information (labs, cardiology records, surgery, clearance letters) to the appropriate facility.
10. Posts flags to appropriate departments regarding scheduled surgeries and hospital patients classified as “admitted” versus “observation.”
11. Opens unused physician surgery times one week in advance.
12. Prioritizes duties according to the most pressing situations and emergencies.
13. Fills in for other staff members as needed.
14. Performs related work as required.
15. Attends required meetings.
16. Complies with Virginia Women’s Center’s policies and procedures. Follows guidelines required by HIPAA, OSHA, and Red Flags regulations. Maintains appropriate attendance and punctuality as defined by Virginia Women’s Center.
Qualifications

Education, Experience and/or Licensure
High school diploma or general education degree (GED). One year related experience and/or training; or equivalent combination of education and experience.
Knowledge, Skills and Abilities
Knowledge of insurance carrier rules, procedures, and requirements.
Knowledge of ICD-9 codes for surgeries and procedures.
Knowledge of medical office procedures including surgery procedures and practices.
Knowledge of practice management software.
Knowledge of organizational policies, regulations, and procedures.
Skill in managing multiple priorities.
Skill in grammar and spelling.
Skill in maintaining departmental quality assurance and quality control standards.
Skill in answering the telephone in a pleasant and helpful manner.
Ability to understand and interpret insurance company policies and regulations.
Ability to communicate with patients, to ascertain patient information in a pleasant and helpful manner.
Ability to react calmly and effectively in emergency situations.
Ability to maintain strictest patient confidentiality.
Accuracy in computer data entry.
Accuracy and efficiency in recording telephone messages.
Physical Demands
Sitting 7-8 hours per day. Requires eye-hand coordination, finger dexterity. Vision must be corrected to 20/20 and hearing must be in normal range. Must be able to view computer screens for long periods. Occasional stress related to workload and interruptions.
Work Environment
Work is performed in a medical office environment. Involves frequent telephone interaction. Involves dealing with staff members and patients. Contact may involve dealing with angry or upset individuals.
