Administrative Assistant II

Overview

Shift: Full Time; Monday–Friday, 8:00 AM–5:00 PMJoin our Pain Clinic team as an Administrative Assistant! In this role, you’ll support the department and healthcare team with a variety of administrative responsibilities, including managing communication and scheduling, maintaining patient and departmental records, coordinating correspondence, and assisting with data entry and reporting. You’ll also help keep daily operations running smoothly by ordering supplies, maintaining equipment, updating medical documentation, assisting with billing and insurance processing, and supporting departmental projects.

Responsibilities

• Provide administrative and clerical support to departments and healthcare teams.
• Manage incoming and outgoing correspondence, ensuring accurate tracking and documentation.
• Coordinate schedules for meetings, appointments, conferences, and events.
• Maintain office supply inventory and ensure equipment is functional, coordinate repairs with vendors.
• Respond to inquiries from staff, patients, and visitors; escalate complex issues when needed.
• Arrange travel, including transportation and accommodations.
• Support department budget and expense tracking and maintain efficient office procedures.
• Maintain patient, staff, and departmental records in compliance with privacy regulations.

Qualifications

Education:

• High school diploma or equivalent (GED) required.
• Associate’s degree in a business or medical-related field preferred.

Experience:

• Three years of experience in an administrative, business, or medical-related field required.

License(s)/Certification(s):

• None required.

Knowledge, Skills & Abilities:

• Strong organizational skills with the ability to manage multiple tasks, schedules, and priorities in a fast-paced environment.
• Knowledge of Microsoft Office Suite and applicable hospital management software.
• Basic knowledge of medical billing, insurance documentation, and reimbursement processes.
• Knowledge of healthcare laws, patient rights, HIPAA, informed consent, safety standards, and emergency protocols preferred.
• Ability to manage executive calendars and coordinate meetings, appointments, and events across multiple time zones preferred.
