For more than 50 years, we have supported complex energy and industrial systems through data-driven insights in thermal and hydraulic performance analysis, sound and emissions testing, precision instrumentation rental, and turnkey equipment manufacturing.

We’re looking for an organized, dependable Administrative Assistant to join our Performance Group in Knoxville, Tennessee. This is a key support role within a close-knit, fast-paced team of engineers, technical and support staff, and leadership.

As a central resource for the group, you’ll help keep day-to-day operations and project administration running smoothly. The role offers plenty of variety, from invoicing and document preparation to travel coordination, purchasing, shipping, and client and vendor requirements. We’re looking for someone who takes pride in being organized, pays attention to detail, and enjoys helping a busy team stay on track.

Your Role

• Assist with invoicing by reviewing project documentation and correspondence and working with various software and spreadsheet tools
• Support sales and safety vendor submittals for potential and existing clients
• Maintain and update department and corporate information systems to keep records accurate and current
• Enter purchase order information and process department and project expenses for payment
• Review project document submittals for client and project information, organization, grammar, and spelling
• Coordinate project travel, logistics, and shipping needs
• Support special projects and nonrecurring initiatives as needed
• Provide general administrative support to engineers, sales personnel, technical staff, and department leadership

Required Qualifications

• High school diploma or equivalent
• 2+ years of clerical or administrative experience
• Advanced proficiency with Microsoft Office Suite—Word, Excel, and Outlook software
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
• Excellent attention to detail and proofreading skills
• Strong written and verbal communication skills
• Ability to work effectively both independently and as part of a team
• Ability to occasionally work additional hours as needed (10%)
• Ability to lift 10 pounds, with occasional lifting to 25 pounds

Preferred Qualifications

• Experience with invoice preparation or generation
• Accounting, technical, or report-writing experience
• Experience with PowerPoint or other presentation software
