      As a Administrative Assistant 3 within the Office of Medical and Clinical Services at the Georgia Department of Public Health, you will join a dedicated group of public health professionals that help support the overall mission and vision of protecting lives of Georgian residents in a variety of ways.
      Job Responsibilities

      • Serve as point of contact for immunization program; provide administrative and technical assistance to internal and external customers; answer, triage and direct all incoming calls for the program
      • Provide administrative support by maintaining immunization inventories and distributing materials to providers as requested; retrieve, open, and distribute incoming mail to program staff, managers and other DPH programs as needed
      • Monitor immunization record requests received via email and fax; utilize GRITS to research and process immunization request for children, adolescents, and adults
      • Orient and train new staff in proper procedures of day-to-day operations of the immunization program; assist with developing administrative job aids and templates for processing immunization record request and other administrative duties
      • Maintain office assessment filing system; collect, organize, file, and monitor IRC site visit forms; collect, organize, file, and monitor district IAP forms, and annually purge documents over 3 years from files
      • Provide SENDSS support to office and district staff, update school and childcare sites in the School and Child Care Database (SCAD), and provide technical assistance related to SENDSS and SCAD
      • Serve as data entry support backup for immunization office; conduct data entry for Vaccines for Children as needed and conduct data entry for Immunization Registry (GRITS) as needed.
      • Handles and protects confidential client and program information when performing administrative duties following HIPAA Privacy Rules.

      Minimum Qualifications

      High school diploma/GED and four (4) years of job-related experience;
      or
      two (2) years of experience required at the lower level Admin Assistant 2 (GST051) or position equivalent.

      PREFERRED QUALIFICATIONS (BASED ON THE NEEDS OF THE POSITION):
      • Bilingual (able to comprehend and speak Spanish fluently)
      • Associate degree from an accredited college or two years related experience
      • One year of business school or college preferred
      • One year of experience performing general office work to include duties such as telephone usage, filing, typing, handling customers' questions or complaints, data entry, computer usage
      • Knowledge and skills related to the use of the Georgia Registry of Immunization Transactions and Services (GRITS)
      • Knowledge of current Advisory Committee on Immunization Practices (ACIP) vaccine recommendations.
      • Excellent customer skills, telephone and email etiquette, ability to multi-task and work independently often with minimal supervision and willingness to work as part of a team.
      • Proficient with Microsoft Office software (i.e., word, PowerPoint, excel)
