Maintain the leaders' calendar, prioritize action items, and arrange video/telepresence and teleconferences.
Ensure leaders are consistently updated on any meetings and events they need to attend.
Organize the flow of work, prioritize tasks and activities, and ensure that administrative functions are carried out efficiently and effectively.
Coordinate and maintain clear communications between the leaders and other internal departments.
Regularly meet with leaders to review the status of projects, plan upcoming meetings, and coordinate travel arrangements.
Organize meeting logistics , including technology requirements, to ensure smooth execution.
Perform other administrative and ad-hoc tasks, such as organizing guest offices, preparing guest badges, coordinating catering, and arranging local ground transportation for visitors.
Prepare detailed domestic and international travel itineraries and make travel arrangements, including visa processing.
Prepare and process expense reports and manage outside service costs, ensuring compliance with company policies.
Communicate effectively with all levels within the organization to ensure smooth operations.
Establish and maintain strong business relationships with other administrative professionals to find swift solutions to various challenges.
Provide vacation coverage for other assistants, ensuring continuity of administrative support.
Completion of high school or secondary education is required . Additional university-level courses or secretarial/business school training is desirable.
Demonstrate excellent prioritization and organization skills to manage multiple tasks effectively.
Exhibit a high level of interpersonal skills and professional acumen to interact confidently with various stakeholders.
Possess excellent communication skills, with fluency in English being essential.
Have a proven ability to collaborate across multiple departments and navigate an enterprise and fast-paced environment.
Manage highly confidential information with appropriate discretion and integrity.
Interact and coordinate effectively with senior leaders both inside and outside the company, as well as with other internal and external visitors.
Demonstrate the ability to manage change and adapt work style and processes according to the dynamic nature of the organization.
Show an understanding of cultural differences and their impact on business interactions.
Manage multiple tasks in an environment characterized by tight deadlines and high-quality standards.
Exhibit a high degree of autonomy and decision-making discretion to handle various responsibilities independently.
Be proficient in typing and knowledgeable in computer applications such as Outlook, Excel, Word, PowerPoint, and Adobe.
Be team-spirited and able to collaborate effectively with other assistants.
Have previous experience working for senior executives in an international corporate environment, with MS Teams knowledge and experience being preferred.
