We're looking for a highly organized and detail-oriented Administrative Assistant to support a busy U.S.-based clinic. The ideal candidate will have prior administrative experience, excellent communication skills, and a basic understanding of legal processes or terminology. You'll be working closely with the clinic's Manager and will play a vital role in ensuring smooth day-to-day operations.
Key Responsibilities:
• Answer phone calls, take detailed messages, and manage incoming call requests
• Monitor and respond to emails, escalating or drafting replies when appropriate (after training)
• Maintain clear records of communications and follow-ups
• Create and manage invoices and assist with basic billing tasks
• Support internal documentation, note-taking, and coordination efforts
• Work closely with senior staff to execute administrative tasks as needed
Qualifications:
• Prior experience in an administrative, executive assistant, or support role
• Strong written and verbal English communication skills
• Ability to multitask and manage time effectively
• Proficient with email tools, spreadsheets, and invoicing software
• Basic legal knowledge or background (e.g., law degree or paralegal experience) is a plus
• Detail-oriented, resourceful, and proactive in problem-solving
Work Setup:
• Remote, Philippine-based preferred
• Must be comfortable working U.S. business hours
• Will report directly to Clinic Manager
