- Schedule and coordinate client appointments
- Review medical records and diagnostic reports to ensure all required documentation is complete
- Obtain and process exam requests through electronic and manual systems
- Enter and maintain accurate information in internal databases
- Follow up on outstanding diagnostics and retrieve reports as needed
- Communicate with clinical offices, clients, and internal teams
- Reconcile billing discrepancies and assist with administrative processes
- Manage calendars, files, correspondence, and reports
- Respond to emails and assigned tasks within established timeframes
- Perform data entry and other administrative duties as assigned
- High School Diploma required
- Minimum 2 years of clinical, medical office, scheduling, or administrative experience
- Proficiency with Microsoft Office Suite, including Outlook, Teams, Word, and Excel
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Ability to manage multiple priorities in a fast-paced environment
- Medical secretary or medical office background
- Previous scheduling experience
- Bilingual skills

Clinical Operations Assistant
Remote Full-Time 8:00 AM-4:30 PM
The IMA Group is seeking a detail-oriented Clinical Operations Assistant to join our team in a fully remote role. This position plays a key role in supporting clinical operations by coordinating appointments, reviewing medical documentation, maintaining records, and ensuring a seamless experience for clients and providers.
This position is not considering candidates from New York City, Chicago, California, Colorado, or Washington states at this time.
