      We are currently in the early stages of implementing a hybrid working environment, which means that many colleagues spend part of their working hours at home and part in the office, depending on the nature of the role they are in. We’re flexible on how this works and it may continue to change and evolve. Depending on your team, typically this means that colleagues spend a minimum of between 20% to 60% of their time in the office, which could be over a week, a month or a quarter. However, some colleagues may choose to spend more time in the office over a typical period than their role type requires. We also have a flexible working process where, subject to business needs, all colleagues globally are able to request work patterns to reflect their personal circumstances These requests will be reviewed and agreed for a period of time i.e., will have a start and end date.

      Introduction:

      The candidate will be responsible for providing professional and efficient EA/PA support to the MD/Ds within the RFT EDP FT CDO. The candidate will work closely with a number of senior executives and their support offices.
      We expect the successful candidate to take an active interest in understanding the environment they work in, building an understanding of the business and function’s processes and objectives so the MDs/Ds they support can rely on their judgment to understand relative priorities and how the various appointments, meetings and outputs contribute towards that.

      What will you be doing?

      • Performing extensive diary, schedule management and proactive forward planning for (primarily) the MDs/Ds. At Barclays, you will be working in a fast-paced business, including booking appointments, conference calls/VCs and travel, organizing regulatory, policymaker and standard-setter’s meetings with precision across multiple diaries, including (but not limited to) the Compliance teams, external Regulators’ Administrations & the offices of senior Barclays stakeholders.
      • Assisting in establishing best practices standards by partnering with other assistants to achieve consistent high-performance standards and efficiencies.
      • Performing other ad hoc duties as required e.g. populating templates, creating lists of upcoming meetings for a specific stakeholder, photocopying, maintaining department organizational charts, maintaining team distribution lists where applicable.
      • Providing administrative support to other members of the team especially when other EA/Administrative colleagues are out of the office. Book travel arrangements, plan itineraries, visas, foreign currency, medical requirements etc., as needed.
      • Maintaining confidential and sensitive information; must act with discretion and integrity at all times.
      • Managing the events management logistics which will include meetings, functions, lunches, conferences, both at internal and external venues. Influencing and negotiating will be required to manage events like this.
      • Ensuring adherence to people related activities in accordance with HR policies and procedures (i.e. Performance Appraisals, Year End processes, Mandatory Training, Leave of Absence, Talent Management, Colleague Development, Maintaining departmental records)
      • Acting as a reference point for the D/MD in RFT EDP FT CDO. To use initiative in resolving queries where possible otherwise channeling to appropriate area and following up where appropriate.
      • Performing a wide range of other administrative duties, e.g. processing of expenses and invoices on an online system (SAP/AIP).

      What we’re looking for:

      • Previous experience as a EA/PA supporting MDs/Ds
      • Knowledge/skill/competency in tools such as Microsoft Office (Outlook, Word, PowerPoint, Excel)
      • Familiar using MS Teams, Coupa and Concur systems
      • Prior experience working within a fast paced and demanding environment (Financial Services Industry)
