Job Description

- Provides administrative support to plant management staff to include scheduling and organizing meetings, conference calls and appointments, creation, and assembly of documents for distribution, and arranging for facilities and resources as needed.
- Serves as a liaison between manufacturing employees and Human Resources while maintaining the highest level of confidentiality regarding company, vendor, and employee information.
- Composes confidential correspondence, letters, memorandums, and other communications on behalf of the plant management staff, ensuring accuracy in grammar and content.
- Handles sensitive information and serves as a support resource for topics that are confidential in nature.
- Participates in audit meeting preparations including meeting minutes, mail outs, and event planning as needed (i.e. BRC audit).
- Coordinates and manages support to plant management staff as needed for special events, projects, and communications.
- Coordinates and manages support with annual projects such as updates to attendance policies, plant administrative policies, planning of meetings, activities, and location events, etc.
- Develops and manages programs to drive employee engagement. This includes collaboration with other business units including Harahan plant and PADC.
- Administers weekly manning schedules, reviews timesheets in Dayforce for accuracy and works with managers to resolve any inconsistencies.
- Coordinates and manages the administrative functions of utilizing Temporary Associates.
- Manages the Manufacturing attendance module including tracking attendance, providing managers with updated information, preparing attendance violation notices to managers for communication to employees and tracks completion of all attendance and payroll related documents.
- First line of support to employees regarding leaves of absence, benefit enrollment/disenrollment/eligibility, employee changes, new hire paperwork, FMLA, short term disability and other HR matters as needed.
- Analyzes and e issues and appropriately forwards to subject matter expert, ECC or HR management as needed.
- Understands the company’s benefit programs and responds to basic employee questions about benefits.
- Assists employees with accessing various benefits and HR-related information, communications, and provides basic computer support for employees, such as accessing the internet, password resets, company email, etc.
- Engages other company departments as needed to facilitate access to information for employees, such as benefits, uniforms and pay statements
- Assists with onboarding new employees at the plant by serving as a support resource for new employees.
- May be asked to perform additional duties as necessary.
- High school diploma or equivalent required.
- Bachelor’s degree in related field from four year university preferred.
- 2 years’ experience in an administrative support, human resources, or customer service role
- Experience with Community Coffee, even if unrelated, may fulfill this requirement at the discretion of the hiring manager with approval from Human Resources.
- Knowledge of SAP a plus
- Frequently required to sit
- Occasionally required to stand; walk; use hands to finger, handle or feel objects, tools or controls and reach with hands and arms; and talk or hear
- Regularly required to lift and/or move up to 25 pounds
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus

Position Overview
This position is responsible for the coordination and execution of administrative duties and projects in support of the Manufacturing Department’s achievement of its business objectives. These duties include, but are not limited to, the administration of payroll, tracking plant attendance and employment actions, meeting coordination, creation of presentations and communication pieces, and providing first-line HR support to plant managers and employees.
