      We are seeking a detail-oriented, organized, and dependable Administrative Assistant with strong experience in insurance billing and bookkeeping to support our daily office operations, client services, and financial administration.

      The ideal candidate is professional, reliable, accurate, and comfortable managing multiple priorities in a fast-paced environment. This position is ideal for someone who enjoys both administrative responsibilities and financial/insurance-related work and takes pride in maintaining accurate records and providing excellent client service.

      Key Responsibilities

      Insurance Billing & Client Services
      • Manage referrals, client intakes, and insurance verification.
      • Handle the full insurance billing cycle, from claim submission through payment.
      • Submit, track, and follow up on insurance claims.
      • Verify insurance benefits and eligibility.
      • Monitor claim status and follow up on unpaid or outstanding claims.
      • Research and resolve claim denials, rejections, and billing issues.
      • Correct and resubmit denied or rejected claims as needed.
      • Post insurance and client payments accurately.
      • Follow up on outstanding insurance and client balances.
      • Communicate with insurance companies regarding claims, benefits, and reimbursement.
      • Maintain accurate billing records and supporting documentation.
      • Help maximize timely and accurate reimbursement for services provided.


      Bookkeeping & Financial Administration
      • Perform basic bookkeeping and financial administrative tasks.
      • Record and post payments accurately.
      • Reconcile accounts and assist with account maintenance.
      • Track expenses and maintain accurate financial records.
      • Assist with financial data entry and related administrative tasks.


      General Administrative Support
      • Answer and respond to phone calls, emails, and other correspondence.
      • Schedule appointments and maintain calendars.
      • Prepare documents and maintain accurate electronic and paper records.
      • Greet clients and provide professional, friendly, and responsive customer service.
      • Manage office supplies and help maintain an organized, welcoming office environment.
      • Assist with data entry and database management.
      • Maintain confidentiality of client and financial information.
      • Provide general administrative support to the team as needed.


      Social Media
      • Assist with managing and maintaining Facebook and Instagram content.
      • Collaborate with team members to support social media initiatives and content planning.


      Qualifications
      • Previous insurance billing experience is required.
      • Experience with insurance claims, eligibility verification, denials, rejections, and account follow-up.
      • Strong understanding of the insurance billing and reimbursement process.
      • Basic bookkeeping and accounting skills are required.
      • Experience with payment posting, account reconciliation, and maintaining financial records is preferred.
      • Previous administrative or office experience preferred.
      • Proficiency with Microsoft Office, particularly Microsoft Excel.
      • Experience with SimplePractice is preferred.
      • Strong attention to detail, organization, accuracy, and follow-through.
      • Excellent written and verbal communication skills.
