What to Expect (Job Responsibilities):
- Manage complex calendars for meetings across multiple time zones, ensuring seamless scheduling
- Prioritize communications to facilitate prompt responses to inquiries from internal and external stakeholders
- Provide high-quality interactions and maintain clear communication with team members, grantees, and partners
- Oversee records and data management, including maintaining the team SharePoint site and organizing filing systems
- Assist with special projects, which may involve basic project management and data analysis
What is Required (Qualifications):
- Minimum of 3 years of experience in an administrative role within a complex, fast-paced organization
- Proactive in identifying team needs and championing solutions
- Strong oral and written communication skills, with the ability to adapt to various working styles
- Proficiency in MS Office Suite, including Outlook, SharePoint, Excel, PowerPoint, and Microsoft Teams
- Ability to manage multiple tasks simultaneously while maintaining attention to detail and meeting deadlines
How to Stand Out (Preferred Qualifications):
- Experience in calendar management, travel arrangements, and event planning assistance
- History of improving organizational efficiency within changing environments
- Strong ability to handle competing demands and high workloads with poise
