What You’ll Do

As the Office Manager, you will support the program’s daily operations and oversee a variety of administrative functions, including office administration, fiscal processes, employee documentation, training compliance, and human resources support.

You’ll also provide supervision to administrative staff and help ensure the office has the systems, documentation, and resources needed to operate effectively.

Your Responsibilities May Include:

Office Administration

  • Oversee daily administrative functions and activities within the office.
  • Supervise clerical and administrative employees, which may include Administrative Assistants, File Clerks, and Receptionists.
  • Purchase, order, distribute, and maintain office supplies.
  • Complete and maintain forms, records, and documentation related to participants, employees, and program operations.
  • Answer office telephone calls, relay messages, and monitor messages throughout the day.
  • Maintain organized employee and program files.
  • Conduct routine file audits to help ensure regulatory and program compliance.
  • Maintain tracking systems and other administrative records.

Employee & Training Support

  • Maintain and track required employee training documentation.
  • Ensure employee files are maintained according to program requirements.
  • Provide administrative support to the Program Director for employment-related activities.
  • Assist with new-hire processing and required documentation.
  • Support training record retention and compliance.
  • Assist with payroll and staffing-related administrative processes as directed.

Fiscal & Financial Support

  • Process incoming accounts payable invoices.
  • Maintain positive and professional relationships with vendors.
  • Assist with distributing and maintaining site funds.
  • Create and maintain participant financial tracking systems.
  • Complete monthly General Ledger reviews and submit necessary adjustments.
  • Maintain accurate fiscal records and documentation.

Compliance & Program Support

  • Maintain confidentiality and follow applicable HIPAA requirements.
  • Follow fiscal, office, HR, fire, safety, and personnel policies and procedures.
  • Attend required trainings and meetings.
  • Maintain a professional demeanor and exercise sound judgment.
  • Support the Program Director and program leadership with additional operational needs.
  • Perform additional duties as assigned.

Qualifications

Education & Experience

Candidates must meet one of the following education and experience combinations:

  • High School Diploma with five years of related work experience

OR

  • Associate Degree with three years of related work experience

OR

  • Bachelor’s Degree with one year of related work experience

Additional Requirements

  • Valid Driver’s License
  • Current vehicle registration and access to a functional vehicle
  • Knowledge of standard office software programs
  • Ability to use common office equipment and technology
  • Ability to maintain confidentiality and follow HIPAA requirements
  • Ability to successfully manage multiple priorities in a changing work environment

Schedule & Compensation

  • Full-Time
  • $24.52/hour
  • Norristown, PA
  • Montgomery County Residential Programs
  • Schedule flexibility may be required based on business needs, including occasional evenings, weekends, or work at different program locations.

Physical Requirements

  • Ability to sit at a desk or meeting table for periods of time.
  • Ability to stand, reach, bend, stoop, twist, and climb steps.
  • Ability to drive a vehicle as required.
  • Ability to lift 20 pounds or more as required by the position.
  • Ability to work in an office environment that may include multiple locations and changing priorities.
  • Ability to perform essential job functions with or without reasonable accommodation.
