Receptionist & HIGH-Volume Appointment Coordinator

We are currently looking for a fast-paced, organized, and tech-savvy Receptionist & Appointment Coordinator to support a busy customer service environment.

This role will be responsible for managing calls, scheduling appointments, and proactively contacting patients to confirm upcoming appointments. The ideal candidate is highly organized, comfortable multitasking, and able to provide a professional and friendly patient experience.

Key Responsibilities:

• Answer and manage incoming calls in a professional and timely manner
• Schedule and coordinate patient appointments
• Make outbound calls to patients to confirm upcoming appointments
• Follow up with patients regarding scheduling and appointment details
• Provide excellent customer service and maintain a positive patient experience
• Accurately update patient information and appointment records
• Manage multiple tasks and priorities in a fast-paced environment
• Utilize scheduling platforms, phone systems, and other technology efficiently
  • Customer Service; acknowledge, smile and greet patients upon arrival/dismissal
  • Respond to patient questions and or concerns according to company Policies
  • Answering Telephones
  • Maintaining Appointment Book
  • Confirming Appointments
  • Follow up on no shows/cancellation of Appointments
  • Register Patients on sign in sheet
  • Chart Filling
  • Cash Handling
  • Checking voicemail on a daily basis
  • Maintain a clean and friendly waiting area for patients
  • At all times you will perform and undertake such other duties and responsibilities as are requested of you by the Office Manager or the PDM
  • Supports strategic local marketing initiatives that help drive brand awareness and new patient growth
  • All other duties as assigned
