Overview:

The Receptionist serves as the first point of contact for visitors, clients, and employees, providing exceptional customer service and ensuring smooth front desk operations. This role involves a combination of administrative tasks, communication, and organization to create a positive and welcoming environment.

Supervisory Responsibilities:

This role has no supervisory responsibilities.

Duties/Responsibilities:

• Greet and welcome visitors with a professional and friendly demeanor.
• Manage incoming calls, route them to the appropriate personnel, and take accurate messages when necessary.
• Maintain a tidy and organized front desk area.
• Register and announce visitors promptly, ensuring compliance with security protocols.
• Provide information about the organization, its services, and directions to various departments or meeting rooms.
• Assist with general administrative tasks, including sorting and distributing mail, coordinating courier services, and managing office supplies.
• Schedule and confirm appointments for both internal and external stakeholders.
• Effectively communicate with employees, clients, and visitors in person, via phone, and through email.
• Relay messages accurately and promptly to the appropriate individuals.
• Address and resolve routine inquiries and issues promptly and professionally.
• Escalate more complex issues to the appropriate department or personnel.
• Monitor and control access to the premises, ensuring compliance with security policies.
• Cross-train in all facets of Office Management, preparing to fill in for anyone absent and grow in responsibility and scope over time.

The person in this role will uphold the culture of J.F. Electric, including relationship-building with customers and general behavior on J.F. Electric or client premises or at J.F. Electric-sponsored events.

Requirements/Qualifications:

• High school diploma or equivalent.
• Previous experience in a receptionist or customer service role is preferred but not required.
• Excellent verbal and written communication skills.
• Ability to interact professionally with a diverse range of individuals.
• Strong customer service orientation with a friendly and approachable demeanor.
• Ability to prioritize tasks, manage time effectively, and maintain attention to detail.
• Proficiently use office equipment, including multi-line phone systems, photocopiers, and computer applications (e.g., Microsoft Office suite).
• Ability to adapt to changing priorities and handle multiple tasks simultaneously.

Physical Requirements:

• Sit or stand for extended periods at the reception desk.
• Use a computer and telephone for various tasks.
• Lift and carry items such as mail or packages as needed.
• Move around the office to assist visitors and perform tasks.

Travel Requirements:

No travel is required in this role.
