Job Summary

The Receptionist serves as the first point of contact for clients, visitors, and employees, providing professional and courteous customer service. This position is responsible for answering and directing incoming calls, taking messages, greeting visitors, and performing a variety of administrative and clerical duties to support daily office operations. The Receptionist assists with document preparation, data entry, filing, mailings, and other administrative tasks while helping maintain an organized and efficient office environment.

Responsibilities

  • Answers and routes incoming and internal telephone calls to the appropriate individual or department.
  • Takes and delivers accurate messages in a timely manner.
  • Greets and assists visitors, ensuring a positive and professional experience.
  • Performs general clerical duties including proofreading documents, preparing correspondence and labels, data entry, copying, scanning, filing, and records management.
  • Assists with processing checks, organizing loss runs, and preparing outgoing mail and packages.
  • Maintains office supplies and supports day-to-day administrative functions.
  • Provides administrative support to various departments as needed.

Required

  • Must project a professional image and voice.
  • Excellent oral and written communication skills.
  • Ability to handle multiple tasks and experience handling multiple-line phone with voicemail applications helpful.
  • Must be a self-starter with strong organizational abilities.
  • Ability to coordinate and prioritize required.
  • Flexibility, initiative, and the ability to work with a minimum of direct supervision a must.
  • Ability to work as a team member in a rapidly changing environment.
  • Reliable, predictable attendance within client service hours for the performance of this position.
  • Responsive to internal and external client needs.
  • Ability to clearly communicate verbally and/or in writing both internally and externally.

Nice to Have

  • Bilingual (Spanish) proficiency- highly valued for communication with claimants, employers, or vendors, but not required.
  • Knowledge of lower-level claim handling responsibilities.
  • Computer Skills- Proficient in Microsoft Office & Proficient typing skills

Compensation & Compliance

  • Compensation: The posted salary reflects CCMSI’s good-faith estimate in accordance with applicable pay transparency laws. Actual compensation will be based on qualifications, experience, geographic location, and internal equity. This role may also qualify for bonuses or additional forms of pay.
