Executive Assistant Duties and Responsibilities:

• The Executive Assistant will provide high-level administrative support and perform the following tasks, as requested, including drafting letters, memos, invoices, reports, and other documents for senior staff.
• Manages and maintains calendars and schedules to include coordination of meetings, appointments and travel itineraries, including coordination of schedules with both internal and external constituents. May include the scheduling of individual patient meetings with an executive leader in the patient electronic record.
• Coordinates travel for conferences and speaking venues.
• Serves as a delegate for actions within the HR Information System (HRIS) which may include time off requests, approval of timesheets, and performance management.
• Plans and organizes events such as trainings, executive and senior leadership meetings and board meetings
• Prepares Board and Committee packets, including coordination and collation of information from multiple stakeholders within and outside of the organization.
• Transcribes and prepares minutes/reports for meetings as designated and distributes to meeting attendees
• The Executive Assistant will compile monthly and/or quarterly reports by gathering data from designated resources and programs to assist in the budgeting process. Manages expense reports, reconciliation of credit card statements, invoices, and other financial documentation for the executive team.
• May be responsible for ordering office supplies.
• Maintain any policies and procedures, organize and systematize reports that are needed to maintain communication between departments
• Maintains files, including litigation and legal documents
• Complete special projects as assigned.

• Ability to use / maintain office equipment.
• Will need to sit, stand, and type for extended periods of time
• Must type a minimum of 60 words per minute
• Must be able to lift up to 25 pounds
• Able to ambulate throughout Caron’s campuses which may include ascending and descending stairs
• This position may allow for some remote work and therefore requires a secure home office with computer and high-speed internet access

Education / Experience Qualifications:

• High school diploma or equivalent required. Degree in Secretarial Science, Accounting or Paralegal preferred
• 3-5 years’ experience in an office environment as an administrative assistant is required. Experience at the corporate level preferred.
• Notary Public a plus.
• If in recovery, 1 year of continuous sobriety is is preferred.

Skills, Knowledge and Abilities:

• Proficiency with Microsoft Office – Excel / Power Point / Word.
• Must handle confidential information with discretion and professionalism.
• Ability to effectively communicate both verbally and in writing, including proofreading and spelling.
• Ability to prioritize and coordinate multiple assignments, proactively addressing issues before they arise.
• Ability to interact professionally with patients, referral sources, and the public.
• Ability to acquire knowledge of Caron Programs.
• Ability to acquire knowledge of all aspects of licensing / accreditation procedures.
• Must be able to function with minimal supervision.
