      The Account Coordinator supports sales, business development, marketing, and administration for Robbins Marcum Joint Venture LLC. The role requires customer service for up to 135 clients, administration of client onboarding and billing, scheduling, coordinating conferences, and supporting business growth through cross-selling and retention initiatives. Approximately two weeks of travel per year is required.

      This is a position with CBIZ who will be 100% dedicated to performing this function for the Joint Venture CBIZ has with Tony Robbins (referred to as the Robbins Marcum JV or “RMJV”) and will be supporting the Managing Directors responsible for the RMJV. The RMJV is one of the Tony Robbins Alliance members through his Global Accounting Advisors Alliance.

      This position is required to be in-office full-time in San Diego, CA.

      Essential Functions and Primary Duties

      Customer Service

      • Respond to all client/prospect inquiries within 24 hours.
      • Serve as primary liaison between the JV, CBIZ personnel, clients, prospects, and partner organizations.
      • Proactively keep clients on schedule for meetings and check-ins through multi-channel outreach (email, phone, text) and follow up on resulting action items.
      • Identify and pursue opportunities to cross-sell services and support client retention.

      Marketing & Business Development

      • Manage all correspondence with clients and prospects.
      • Generate and share with prospects proposals for services.
      • Develop and distribute marketing materials and campaign communications.
      • Organize outreach to prospects and coordinate invitations to events and webinars.
      • Track and follow up on leads and referrals.

      Administrative

      • Set up clients and engagements in Maconomy/Billing Software.
      • Issue and track retainer invoices, maintain updated client information.
      • Prepare, update, and manage engagement letters in compliance with policies.
      • Interface with CBIZ accounting for payment processing and refunds.

      Billing & Collections

      • Administer billing, process payments, maintain compliance with PCI DSS.
      • Manage collections: run A/R reports, follow up on outstanding invoices, advocate for client retention.
      • Organize and update client databases and track key client activities.

      Scheduling

      • Schedule all client coaching sessions, reviews, and meetings.
      • Coordinate staffing and logistics for tax return reviews and conferences.
      • Manage reminders, updates, and communications around appointments.

      Conference & Event Coordination

      • Support in-person (West Palm Beach, FL) and virtual conferences (January), managing booth, logistics, and scheduling consultations.
      • Serve as key point of contact for attendees, vendors, and partner organizations.
      • Send real-time marketing campaigns during events and compile metrics for reporting.

      Other Logistics

      • Organize and prioritize client data.
      • Track client engagement and maintain accurate records.
      • Set up secure client accounts for document uploads.

      Preferred Qualifications

      • Bachelor’s degree preferred.
      • Customer-facing experience preferred.
      • Experience or familiarity with accounting industry is a plus.

      Minimum Qualifications

      • High School diploma or GED
      • Demonstrated ability to communicate verbally and in writing throughout all levels of an organization, both internally and externally
      • Proficient use of applicable technology
      • Ability to work in a team environment as well as independently

      The hourly rate for this job in this market is $22.00 - $30.00. The specific compensation for this role will be determined based on the education, experience, and skill set of the individual selected for this position. The compensation above is not representative of an employee’s total compensation.
