Overview
Provides administrative support to the Associate Vice President of Academic Affairs and Provost.
Responsibilities
1. Makes schedule additions and associated changes in the student records system.
2. Maintains a record of West Campus room use. Works with appropriate campus personnel to ensure that room scheduling conflicts are avoided. Maintains the boardroom schedule district-wide.
3. Maintains adjunct/part-time faculty qualifications’ list in a microcomputer database file and/or in student records system, as requested.
4. Prepares correspondence, handbooks, forms, and other documents as requested.
5. Generates reports as directed.
6. Works with Assistant Deans, Associate Deans, Deans, Directors, Coordinators, and Provosts during course schedule development; specifically dual enrollment courses.
7. Maintains calendar for the Associate Vice President of Academic Affairs and Provost.
8. Maintains State Course Numbering System (SCNS) file, book, and microcomputer database.
9. Maintains district-wide evening administrator schedule.
10. Maintains general files.
11. Maintains tuition reimbursement files and processes payment with the Financial Services Office.
12. Maintains the Master Course Objective records and submits to Webmaster to be posted to the intranet.
13. Ensures that West Campus Activity Request Forms and supportive/ancillary information and/or forms are copied and/or routed to appropriate personnel; specifically as it relates to facilities use contracts and university partners billing/scheduling.
14. Provides support for the following functions: All College Day, Fall Faculty Meeting, Adjunct All College Day, Faculty Development Institute and support activities as it relates to Staff and Program Development, Professional Development and Continuing Education.
15. Prepares the annual concurrent use reports.
16. Performs other duties as assigned.
Minimum Qualifications
Standard high school diploma or GED required
Knowledge, Skills, and Abilities
Must be able to perform a wide variety of general office duties, with emphasis on clerical skills and accuracy in word processing and other software. Database and spreadsheet software knowledge required.About the company
