      The Georgia Department of Community Health (DCH) is one of Georgia's four health agencies serving the state's growing population of over 10 million people. DCH serves as the lead agency for Medicaid, oversees the State Health Benefit Plan (SHBP) and Healthcare Facility Regulation, impacting one in four Georgians.

      DCH is currently seeking qualified applicants for the position of Administrative Assistant Supervisor, Intake and Triage Unit with the Healthcare Facility Regulation Division. This is a hybrid position that requires in-office and remote work with the approval of your supervisor. Your days of frequency in the office can change at any time during your employment based on the business needs of the organization.

      Job Responsibilities
      This position supervises, guides, and assigns work to subordinate staff while performing a broad range of administrative and operational support duties for assigned programs or functional areas. It handles complex tasks that may involve access to confidential or sensitive information, researches and resolves program-related data issues or inquiries, and prepares documentation, reports, and presentations. This position also serves as a representative of the program or unit by providing information and assistance to internal and external stakeholders. Additionally, this role performs the following:
      • Assists Intake Manager with training of Intake Staff.
      • Maintains data entry accuracy and assists with entering complaints and facility reported incidents into the database.
      • Assists with providing coverage and support for the team when Intake Manager and/or Intake Staff are on leave.
      • Assists with making referrals to appropriate agencies and/or licensing boards and dissemination of information.
      • Assist with general verbal and written responses to complainants, including relaying information to program managers.
      • Completes tasks and assignments associated with administrative support functions (i.e., assigning facility reported incidents and complaints).
      • Monitors and assigns HFRD Complaint Intake e-mail box for timely processing of workload.
      • Assists with assigning and ensuring voice mail messages are returned timely from the call center.
      • Assists intake team in assessing incoming complaints/incidents against federal/state facility types and refer complex cases to Intake Manager, when appropriate.
      • Provides secretarial and administrative support to managers.
      • Uses independent judgment and initiative to perform administrative, clerical, and secretarial duties in support of an individual employee or group of employees.
      • Special projects and other duties, as assigned.

      Minimum Qualifications
      High school diploma/GED and five (5) years of job-related experience; or two (2) years of experience required at the lower-level Admin Assistant 3 (GST052) or position equivalent.

      Preferred Qualifications:
      • Associate's degree from an accredited College or University AND Four years of related experience Or Six years of related experience.
      • Experience leading or supervising a team.
      • Strong verbal and written communication, and active listening skills.
      • Proficiency with databases including ASPEN, GAHLES, IQIES, and Laserfiche.
