- Assist with the daily configuration, updates, and maintenance of Slate CRM, including forms, fields, queries, and basic workflow adjustments.
- Capability to build complex workflows, pop rules, automations, and dynamic portals.
- Experience with queries, exports, imports, rules, forms, configurable join, and source formats.
- Build and maintain dashboards for recruitment funnel, events, application volume, and operational metrics.
- Ability to troubleshoot data quality, field mapping, and integration failures.
- Familiarity with HTML/CSS, Liquid markup, and template configuration for comm flows.
- Serve as the primary contact for all Slate integrations with SIS, marketing automation systems, and third-party data providers.
- Manage all checklist logic, dynamic content, portals, interview scheduling tools, and automated applicant communications.
- Support the setup and management of application terms, rounds, checklists, and requirements for each admissions cycle.
- Build automated processes, data imports/exports, and system notifications to ensure accuracy and timely resolution of issues.
- Deploy email and SMS through drip communications as well as one off emails.
• Serve as a first point of contact for user questions and troubleshooting, escalating more complex issues to cross functional departments as needed. - Help maintain and refine application forms, event registrations, portals, and communication plans within Slate to improve efficiency and applicant flow.
- Assist in building and testing new features or enhancements as directed by enrollment leadership or senior CRM staff.
- Support the setup and execution of admissions recruitment events, interviews, and travel planning tools within the CRM.
- Document updates and maintain internal guides, checklists, SOPs, job aids, and best practices for system users. Help to analyze and evaluate campaigns across platforms, including digital, email, and social media.
- Run routine queries, reports, and dashboards to support admissions, marketing, and leadership data needs.
- Review, validate, and maintain data integrity across the CRM and related systems, identifying inconsistencies and recommending corrections.
- Track key admissions and recruitment metrics, preparing summaries as needed for internal stakeholders.
- Assist with preparing data for forecasting, pipeline tracking, and enrollment reporting.
- Partner with the marketing team to support email and SMS communication campaigns, including list preparation and campaign tracking.
- Collaborate with IT to report system-related issues or minor integration needs.
- Provide onboarding and basic training to Slate users, ensuring staff understand processes and system functionality.
- Offer ongoing support to admissions team members to ensure smooth operations and optimal use of the CRM.
- Bachelor's degree in Information Systems, Business, Communications, Marketing, or a related field.
- Equivalent combinations of education and relevant experience will be considered.
- One to three (1-3) years of experience in admissions, enrollment management, CRM support, or a related operational/technical role.
- Strong familiarity with Slate is required.
- Strong attention to detail with demonstrated ability to manage data, workflows, and process-driven tasks.
- Effective communicator with the ability to collaborate across technical and non-technical teams.
- Highly organized with the ability to manage multiple assignments and meet deadlines in a fast-paced environment.
- Proven ability to learn new systems quickly and adapt to evolving technologies, processes, and institutional needs.
- Demonstrated interest in developing deeper technical and CRM expertise within an admissions setting. Curiosity-driven approach to problem solving, with a commitment to continuous learning and expanding technical skills.

The Admissions Systems Specialist supports the operational and technical functions of the University of Miami's Miami Herbert Business School (MHBS) admissions process, with a primary focus on the Slate CRM. This role assists in maintaining application workflows, ensuring data accuracy, supporting communication plans, and providing day-to-day troubleshooting for admissions staff. The Specialist works closely with admissions, marketing, and IT partners to streamline processes, enhance the applicant experience, and contribute to strategic enrollment goals for Specialized Masters, MBA, and doctoral programs.
Salary: $50,000 - $67,000 per year, commensurate with experience
